Import trial balance data direct from Xero

Product subscription required: IRIS Elements Accounts Production Professional or IRIS Elements Accounts Production Enterprise.

If you subscribe to IRIS Elements Accounts Production Essentials, you can only import from manually created CSV files or must manually enter your trial balance data.

You can import your trial balance data direct from Xero™ without downloading the data to a CSV file first.

You can import a maximum of 12 months of data. Extended accounting periods are not supported.

You must have multi-factor authentication switched on for the IRIS Elements account used to perform the import from Xero.

  1. From the Clients menu, select Clients list.
  2. Change the client list view to either Active clients or a custom view that includes all relevant clients.
  3. If any of the entries are greyed out and you cannot select them, this is a restricted item — the parent client record has been set to Private and you do not have access. If you believe this is a mistake, contact your IRIS Elements administrator. Users who have Administrator level permissions are able to view all public and private client records, even those where they are not named as assigned users.

  4. From the Accounts production widget on the Dashboard, select the required accounting period. Ideally, select the latest / newest period.

    If a relevant account period does not exist, you must create and set up one first.

  5. In the Source Data tab, select Import.
  6. If data has been previously imported, choose whether to upload new data (Yes upload new data). Doing this overwrites any existing trial balance data.
  7. Select the Bookkeeping Application (API) import type.
  8. From the Bookkeeping source drop-down, select Xero.
  9. If a Xero integration has not been setup already, select Connect.
    1. When prompted, enter the integration account's email address, password, and 6-digit authentication code.
    2. Confirm the access permissions.
    3. When the connection has been setup correctly, you are returned to the Import trial balance dialog.
  10. Select Start mapping.
  11. Once the data has been analysed, select Continue.
  12. After import, check the data has been imported as expected. Errors are highlighted that must be resolved:
    • Missing accounts or descriptions
    • Unknown Directors
    • Unknown Partners

    You can choose to Save & exit without resolving the highlighted problems and complete the process later — when you return to the Source Data tab, select Resume import to complete the import.

  13. When all highlighted problems have been resolved, select Complete import.
