View Only Access for Documents

This guidance is only for IRIS Financials Version 7.0.2223 or later if your organisation has switched on the New security screens. If it is not switched on or using version 7.0.2103 or earlier, go to Giving View only Access to Document Types .

Security can be changed to limit what users can do with documents.

For example, if your organisation no longer wanted to allow cheque documents to be created, but wanted historic cheque documents to be available in enquires, the document security is changed for each user group to remove the permissions to Post.

To give view only documents to users:

Create or Find Users and User Groups

User groups are created to manage permissions for IRIS Financials modules and features for specific groups of users.

To create a user group: 

  1. Go to Maintenance, then select User Groups.

  2. Select ADD NEW, then USER GROUP.
  3. To identify the group, enter a Group code (maximum 8 characters), and meaningful name in Title.

    The Group code and Title cannot be changed after saving.

  4. Enter the number of days (limited to 100) before a password should expire for all users in the group in Password expiry.
  5. To send warnings to all users before their password is due to expire, enter the number of days (limited to 100) in Password warning.

    To never expire passwords or send warnings, leave Password expiry and Password warning set to 0.

  6. SAVE the group.
  7. Set the security and permissions for the group.
  8. Add users to the group.

Give Access to Required Applications

To manage what users can access and how they can use Applications, the relevant security must be set for the user group they are assigned to.

Permissions can be assigned by setting the security from the User Group Maintenance screen.

Security Options for Applications

For each listed option, all users in the group can be given permission to:

  • No Access
  • Read-Only Access — Access features and perform actions based on the set Access Level but cannot edit details or post documents.
  • Full Access — Access features and perform actions based on the set Access Level and Security settings.

Set Security for Document Access

To manage what users can access and how they can use Document Input Forms, the relevant security must be set for the user group they are assigned to.

Permissions can be assigned by setting the security from the User Group Maintenance screen.

Security Options for Document Input Forms

For each listed option, all users in the group can be given permission to:

To display all the input forms for each document type and set the security, expand the Name.

  • PostSelect the document type and input forms the user group can post.

Set Security for Menu Access

To manage what users can access and how they can use Menus, enquiry screen document options, and LINKS panel options, the relevant security must be set for the user group they are assigned to.

Permissions can be assigned by setting the security from the User Group Maintenance screen.

Security Options for Menus

For each listed option, all users in the group can be given permission to:

To display all the items for each menu and set the security, expand the Path.

  • Execute — Access the menu and selected menu items.
