Manage Course Requests
Use the Configuration tab in the Curriculum Manager module to manage course requests from students, parents and teachers. This is useful for logging sports preferences or GCSE options.
Course requests must be enabled and collection requests set up for this function to operate as expected.
Choose to:
- Enable the course requests function. Other features are not available until these steps have been followed.
- Add a course request collection. Add as many course request collections as you need.
- Update request collection entity preferences.
- Edit a course request collection.
- Delete a course request collection.
- View course requests.
- View student requests.
Enable course requests
- Open the Curriculum Manager and select the Configuration tab.

Select Manage Course Requests from the right hand menu. Only the Configuration is displayed when you are first using the function:
- Use the drop downs displayed to enable requests and switch the function on for teachers, students and parents.
- Select Save Configuration.

Three other tabs are now displayed to work with:
- Course Requests. Any course requests are listed here.
- Student Requests. Any student requests are listed here.
- Collections. Course request collections are managed from here.
Add a course request collection
- Open the Curriculum Manager and select the Configuration tab.

Select Manage Course Requests from the right hand menu.
- Select the Collections tab:
- All existing course request collections are listed here.
- Icons indicate the properties of each course request collection. The properties displayed and how they are displayed is determined by the settings in entity preferences.
- Use the drop-down in the top right of the screen to change the Group By setting if required.
- Use the filters and navigation tools to display the course request collection that you want to work with.
- Select Add Course Request Collection in the header to display a popup window:
Select the Collection Properties and complete the fields displayed:
Section Explanation Request Collection Properties - Enter a clear and concise name, code and description for the request collection.
- Request Collection Cycle. Use the drop-down list to select the cycle to associate the request collection with.
- Request Collection Type. Use the drop-down list to select the programme to associate the request collection with.
Request Collection Options Use the drop-down list to mark the request collection as active as required.
Request Collection Dates Select in the date fields and set the start and end dates of the request collection. Requests can only be made between these dates. -
Select the Collection Areas tab and select who can make
requests:
- Students.
- Parents.
- Teachers.
- Select the Collection Terms tab and select the terms to associate with the collection request. Only courses associated with the selected terms can be requested.
- Select the Collection Years tab and select the year groups who can make requests.
- Select Save & Close. The course request collection is listed.
Update request collection entity preferences
Update the entities displayed for course request collection. For example, choose to display Description in the Manage Course Requests screen grid.
Your entity preferences can also be configured centrally from the Manage Module Entities option.
- Open the Curriculum Manager and select the Configuration tab.

Select Manage Course Requests from the right hand menu.
- Select the Collections tab:

Select the table icon in the top left of the screen to display the Edit Module Entity window:
- The Entity Properties tab displays an overview of your entity preferences.
- The four following tabs hold property details for the entity. A count next to the tab title indicates the number of selections made in the tab.
- The Audit tab lists any amendments that have been made to the entity.

In the Entity Properties tab:
- Entity Properties cannot be changed.
- It is not recommended that you make any changes to Export & Import Options.
Filter Options indicate the number of rows displayed if filters are used for the entity. The example below has 6 rows in the filter:

Work through the tabs shown to set details for the entity:
Entity Fields
All of the fields that are available for the entity are listed.
Change the Display Names for the fields as required:
Entity FiltersAll of the filters that can be used for the entity are listed.
- Use the checkboxes to select the filters that you want to include for the entity:
- Change the Titles used for the filters as required. Your selections determine how filters are displayed for the selected entity:
Entity Group ByAll of the group by selections that can be made for the entity are listed.
- Use the checkboxes to select the group by selections that you want to include for the entity:
- Select a default if required.

Change the Labels and Titles as
required:
- The Label name is displayed in the Group By drop-down menu.
- The Title name is displayed in the screen where data is grouped.
Entity View FieldsAll of the information that can viewed for the entity is listed.
- Use the checkboxes on the left to select the columns that you want to display:

Select whether an Image or a Title
are displayed in the header bar for the entity. Either:

Use the Select Image drop-down to select an image for the entity. An icon is
used instead of a column title.
or - Enter a Title for the entity and check the box to the left of the Title. This is useful if you want to customise titles to suit you.

- Use the Spacer checkbox to add grey space to the right of columns. This is useful for dividing up the information displayed in the Manage Course Requests screen.
- Your selections determine the columns displayed for the selected entity.
Be aware that the selections made in Manage Module Settings can determine the fields that are displayed regardless of whether they are selected here.

Choose to change the order that any of your entity selections are displayed
in the module.
Select Order Entity xxx in your selected tab. A popup window is displayed, an example is shown below:
- Select to make a selection and use the arrows to move it up or down the list.
- Select Save & Close to close this window and return to the Edit Module Entity window.

Any changes made to entities are listed under the Audit tab in the window.
- Select Save & Close to close the Edit Module Entity window. Your preferences are displayed in the Manage Course Requests screen.
Edit a course request collection
- Open the Curriculum Manager and select the Configuration tab.

Select Manage Course Requests from the right hand menu.
- Select the Collections tab:
- Use the drop-down in the top right of the screen to change the Group By setting if required.
- Use the filters and navigation tools to display the course request collection that you want to work with.
- Scroll to the course request collection that you want to edit and click the edit icon. A popup window is displayed:

Select the Collection Properties and complete the fields displayed:

- Metadata. Any metadata fields set up for course request collection are listed here. Add values for the metadata fields as required.
- Audit. Any changes made to the course request collection are listed here.
- Select Save & Close. The amended course request collection is listed.
Delete a course request collection
- Open the Curriculum Manager and select the Configuration tab.

Select Manage Course Requests from the right hand menu.
- Select the Collections tab:
- Use the drop-down in the top right of the screen to change the Group By setting if required.
- Use the filters and navigation tools to display the course request collection that you want to work with.
- Scroll to the course request collection that you want to delete and click the delete icon. You are prompted Are you sure you want to delete request collection?
- Select Yes.
- The request collection is removed. A log is kept under the Logging tab for auditing purposes.
View course requests
- Open the Curriculum Manager and select the Configuration tab.

- Select the Course Requests tab.
View student requests
- Open the Curriculum Manager and select the Configuration tab.
