Add new service templates

IRIS Elements Practice Management comes with a useful set of servicejob templates as default. You can add new templates to suit your practice's workflow.

Considerations

Consider the following when planning new servicejob templates:

  • What is the purpose of this servicejob?
  • What individual jobstasksmake up this service?
  • What are the key dates and deadlines associated with this servicejob?
  • Are there particular client types that this job is used for? Will you need to apply filters to any tasks in this job?

Add a new service template and associated jobs

  1. Select the Admin settings cog icon.

  2. Select Services.

    The default services are listed. You can edit these to suit your practice's workflows.

  3. Select Add Service.
  4. Enter a Service name and if required, a Service description.
  5. Choose whether this service starts automatically (when the client record is created) or when it is assigned to a client record.
  6. Go to the Jobs tab.
  7. Select the relevant Job.

    Jobs must be created before they can be assigned to services. To learn how to create jobs, go to Add new job templates.

  8. Select How often this job occurs.
    • A Weekly frequency repeats on the same day of the week based on the first day it is set to happen. For example, start date Tuesday 2nd July 2019, then repeat every Tuesday (9th July, 16th July, and so on).
    • A Monthly frequency repeats on the same date of the month based on the first day it is set to happen. For example, start date Tuesday 2nd July 20219, then repeat every 2nd of the month (2nd August, 2nd September, and so on).
    • A Yearly frequency repeats on the same date of the year based on the first day it is set to happen. For example, start date Tuesday 2nd July 2019, then repeat 2nd July every year (2nd July 2020, 2nd July 2021,and so on).
    • If you choose a starting date which does not exist for some years, for example, a yearly job recurring on 29th February 2020, for the next 3 years the job runs on 28th February, and only runs on 29th February for leap years.
    • If you choose for the job to repeat When triggered, you can choose what to use as the trigger field, the trigger type, whether to trigger for the current value, and set the job dates.
  9. If One-off is chosen for the repeat frequency, skip this step.

    If a repeat frequency has been selected, choose how IRIS Elements Practice Management calculates the job date and whether the date is offset.

  10. You can also have this job apply to a client when certain filters apply. For example, only occur when sole traders are added.
  11. Select Add job and repeat steps 6 to 9 until all relevant jobs have been added to this service.
  12. Select Save.
