Confidential client records
In PTP, it was possible to have a client record set up as a confidential client, with password-controlled access. In IRIS Elements, this is known as Client privacy and is managed using user permissions.
When migrating clients, the confidential status of the client record is maintained. Any confidential clients are migrated into IRIS Elements in the same way as any other client record, but they are only visible to users with administrator permissions. This ensures that all client confidentiality is maintained. Once in the IRIS Elements platform, three levels of client privacy are available:
- Private — This client record can only be accessed by assigned users
- Private-assigned — This status is displayed in the client list for those client records the logged in user can access
- Public — This client record can be accessed by all users in the practice

Confidential clients are migrated in the same way as any other client record. Confidential clients can be added to sync by adding them through the Element Sync Control Panel from within the PTP Accounts Production product. When migrating confidential clients from PTP, we recommend setting up your users and assigning permissions as soon as possible, so you can then assign your clients to the relevant people.
Confidential clients can be identified on the Element Sync Control Panel UI (User Interface) by the padlock icon:
Confidential clients will be linked to client records in IRIS Elements the same way as non-confidential client records i.e., normal client records; this is to avoid the creation of duplicate records.
If you have client records which are already present in IRIS Elements and then you migrate or remigrate data from PTP into the platform, this will not change the privacy status of any clients. For example, if you have a client record in IRIS Elements which is public, but the same client exists in a new batch of migrated data from PTP in which there are restrictions on the client, this will not convert the client record in Elements to a private client, you should make this change manually.
