Import Group Members
When you have created a group in IRIS ParentMail, you can import the details of students or staff who you want to include in the group. Export a list users you want in the group from IRIS ParentMail or create a file with the required details, then import the details for the new group. Alternatively, you can manually add group members. For more information, go to Create and Maintain Groups.
A group must be created before you can import the user details. For more information, go to Create and Maintain Groups.
You can only import the details of users who have already been added in IRIS ParentMail. If you want to import users who do not have an account, you must add their details in IRIS ParentMail first. For more information, go to Add and Maintain Users.
Export Group Data from an IRIS ParentMail Group
To import user details to a new group using user details from another group, export a list of users from the IRIS ParentMail group, edit the Group Name in the import, then import the details to the new group.
- Select Groups > Groups.
- Select the required group, select Actions, then Export.
- The export file is generated. The success message is displayed to confirm the report has been generated.

Select Download.
If you selected Close while the report was created, you must select Actions to display Download.

Open the downloaded file, edit or delete the user details as required, then enter the name of the group for which the details are to be imported in the Group Name column and populate for each user.

Save the file in Comma Delimited (CSV) format.
Create a Group using the Custom Group Report
To import user details using a template Comma Delimited (CSV) file, download the Custom Group Report, then enter the details for the user and group to which the data is to be imported from the Parent Student Export from IRIS ParentMail.
We recommend using the following process if you want to import group data from your Management Information System (MIS). You need to get the details of the users you want in the group from your Management Information System (MIS) before completing the template to be imported in IRIS ParentMail.
- Go to Reports > General Reports.
- To export a list of all IRIS ParentMail users, select Parent Student Export, then select Generate Report.
- The export file is generated. Select CSV from the Download section.
- Open the downloaded Parent Student Export Comma Delimited (CSV) file.

Download the Custom Group Reportfor an import template, enter the details of users and the name of the group to which you want to import in IRIS ParentMail.
You must enter details in the Forename, Surname, Date of Birth (DOB), and Group Name column for each user or the import fails in IRIS ParentMail. You can add the details of users for more than one group in the same import file.
You only need to enter details in Primary Contact Forename, Primary Contact Surname, and Mobile Number if this information is required for the created group. The zero at the start of mobile numbers entered is removed due to the format of the import file. The zero is automatically included when you import the file in IRIS ParentMail.

Save the file in Comma Delimited (CSV) format.
Import Group Members
- Go to Imports > Create Import.
- Select Select CSV import file from the Create New Import section.
- Select the file to be imported, then select Open.
- The file to be imported is displayed in the Create New Import section. Select Queue Import.
- The import can take up to 30 minutes. A notification email is sent to you when the import is complete.
View Imported Group Members

Go to Groups >Groups.

Select Custom from the All Types drop-down list, then select the required group.
If a user is not displayed in the group but was included on the import, the user details have been rejected. User details are rejected at import if required information has not been entered, details have been entered in an incorrect format, or the user has already been added to the group. Rejected import details can be viewed in the Rejected Records Report. For more information, go to Run Rejected Records Report.
