Manage GPA Sets

Create different sets for different areas of your schools. For example, you may require different grade point average (GPA) sets for your UK and Dubai schools.

To manage GPA sets, follow the steps below:

  1. Open the Gradebooks module and select the Certification tab.
  2. Select Manage GPA Sets from the right hand menu to display this screen:

    • All of the GPA sets are listed.
    • The details displayed and how they are displayed is determined by the settings in entity preferences. See Update GPA Management entity preferences for more help with this.
    • Hover over any column header icons shown for more information.
  4. Use the drop-down in the top right of the screen to change the Group By setting if required.
  5. Use the navigation tools at the bottom of the screen to display the sets that you want to work with.
  6. Choose to:

Add a GPA set

  1. Select Add GPA Set in the header. A popup window is displayed:
  2. Select the GPA Set Properties tab and complete the fields displayed:

    Section Explanation
    GPA Set Properties
    • Enter a name, legend, code and description for the set.
    • GPA Set Cycle. Select a cycle to link the set to.
    • GPA Set Type. Select a programme to link the set to.

    Use the drop downs to:

    • Set the status of the set. Selecting 'No' marks the set as 'Inactive'.
    • Set this set as the default. Only one GPA set can be marked as the 'Default'. This is preselected when working with GPA sets.
  3. Select the Curriculums tab and select the curriculums that are to be linked to the set.
  4. Select the GPA Types tab and select the GPA types that are to be linked to the set.
  5. Select Save & Close. The GPA set is listed.

Order GPA sets

  1. Select Order GPA Sets in the header. A popup window is displayed:
  2. Select a set in the list shown and use the blue arrows on the right to move it as required.
  3. Select Save & Close once you have made all the changes required.

GPA set matrix

This feature is not currently available.

Copy a GPA set

  1. Select the copy GPA sets icon in the GPA set that you want to copy. A popup window is displayed:
  2. Complete the fields displayed in the GPA Set Properties tab:

Edit a GPA set

  1. Select the edit icon in the GPA set that you want to work with. A popup window is displayed:
  2. Complete the fields displayed in the GPA Level Properties tab:

    • Enter a name, legend, code and description for the set.
    • GPA Set Cycle. This cannot be edited.
    • GPA Set Type. This cannot be edited.

    Use the drop downs to:

    • Set the status of the set. Selecting 'No' marks the set as 'Inactive'.
    • Set this set as the default. Only one GPA set can be marked as the 'Default'. This is preselected when working with GPA sets.
  3. Select the Curriculums tab and select the curriculums that are to be linked to the set.
  4. Select the GPA Types tab and select the GPA types that are to be linked to the set.
  5. Two other tabs are available, these are explained as follows:
    • Metadata. This is not currently being used.
    • Audit. Any changes made to the GPA set are listed here.
  6. Select Save & Close.

Delete a GPA Set

  1. Select the delete icon in the GPA set that you want to delete. You are prompted Are you sure you want to delete this GPA set?
  2. Select Yes. The set is deleted.
