Data retention and disposal
If I cancel during a free trial or I forget to pay, will my data be deleted?
-
After your free trial or paid subscription ends: you won't be able to access your data until you renew onto a paid subscription. We recommend you export your data out of IRIS KashFlow first.
-
IRIS reserves the right to automatically delete expired account data that is older than 2 years.
-
We keep Financial Transaction data for 5 full financial years after the tax return is submitted as per Appendix 3: IRIS customer-facing retention schedule.
The IRIS Software Group privacy policy is available here.
The right to be forgotten
Anyone has the right to have their data erased without undue delay if the personal data is no longer necessary for the purpose it was collected or processed for.
If you, or any of your clients, have a right to be forgotten request, please email support@kashflow.com.
Exporting your IRIS KashFlow data
There isn’t a one-step feature to copy all of an organisation's data. However, you can export data from individual areas of IRIS KashFlow and reports from our reports screen as detailed in the section below.
You might want to do this if you plan to cancel your IRIS KashFlow subscription.
Your user role determines the data you can export. A Master Admin has full access to all areas and can export all data however other role profiles such a Basic may not.
You can create monthly backups of your data which we then email to you.
You are responsible for keeping records of data entered in IRIS KashFlow.
Data and reports
You can export most reports and data from many areas of IRIS KashFlow. When cancelling your subscription, or for general data maintenance, we recommend you export your chart of accounts, contacts, invoices, bills, and fixed asset list. We also recommend you export these reports:
-
Balance Sheet for each year
-
Profit & Loss for each year
-
Trial Balance including past periods
