About roles

When you create a new Employer, you are automatically assigned the Admin role.

You can invite others to access your data, and when you do, you can choose a role for the user.

These are the currently available roles:

Admin

You can grant the Admin role to other users.

They can do everything that the account owner can apart from:

Admin users created, can create users but not delete them. Only the admin user who is the account holder can delete other users.

Reviewer

A Reviewer is a restricted role with the ability to:

Editor

An Editor is a slightly less restricted role than a Reviewer. As well as all of the access that a Reviewer has, an Editor can also:

Payroll Client - Approver

An Payroll Client - Approver is the main type of user, they edit employees, edit pay run entries, submit pay runs for processing and view reports.

Payroll Client - Editor

A Payroll Client - Editor cannot progress the pay run through approval states. They can edit employees, view pay run entries, view reports

Payroll Client - Reviewer

A Payroll Client - Reviewer is a restricted role with the ability to view the data but no ability to make changes. They can view employees, view pay run entries, view reports

About roles

A role sets what a user can view and change for an employer. A role is chosen when a user is added, and can be changed at any time by an Admin.

When a new Employer is created, the Admin role is assigned automatically.

To give another person access, go to Settings, then select Users, and add or invite a user with the required role. For steps, go to Add and invite a user to an employer.

The available roles are:

Admin

An Admin can do everything the account owner can, except:

  • View billing information.
  • Remove existing users. For steps, go to Remove a user.
  • Change the account owner. For steps, go to Change owner.

An Admin can create users, but only the account owner can delete a user.

Supervisor and Operator

The Supervisor and Operator roles are new, and are being introduced gradually. Permissions for these roles may change. Contact an account manager for more information.

Supervisor and Operator are bureau roles for members of a payroll squad. Supervisor is also available directly on an employer. For steps, go to How to configure payroll squads or Add and invite a user to an employer.

A Supervisor's access takes priority over every other role for the employers in a payroll squad the Supervisor belongs to, and a Supervisor can move employers between processors in that squad in bulk. For details, go to Reassigning employer clients to a different processor.

An Operator has restricted access to employer and employee settings, can edit pay run entries, and can view reports. An Operator can be given access to set up pay codes, switched on or off separately by an Admin or tenant admin.

The API Keys section is not visible to an Operator. For details, go to About API Keys.

Where a user holds a different role in more than one payroll squad, or in a squad and directly on an employer, the highest-privilege role applies. From highest to lowest, the order is: Supervisor, Admin, Operator, Editor, and Reviewer.

Reviewer

Payroll Client - Approver

A Payroll Client - Approver is the main bureau client role. A Payroll Client - Approver can edit employees, edit pay run entries, submit pay runs for processing, view reports, and generate an API key to connect Staffology Payroll to a third-party service through Connected Services.
