Using the Send to HR menu option
You must complete the Send to HR process for all companies before retrieving data from HR.
To do this:
-
In IRIS Earnie, go to the HR Integration menu and select Send to HR.
The Send to HR option allows you to export static data to HR, such as company pay element data(e.g. hourly rates and payments & deductions), employee details and pay elements (such as bonus payments and expenses) assigned to employees.
The process also exports:
-
Company ID
-
Tax Year
-
Frequency (Weekly, 2-Weekly, 4-Weekly, Monthly, Quarterly).
-
Period Number
-
Pay Date
Send to HR also includes the factors. For instance, if a payroll has a rate of Basic and factors of Basic, Time & Half and Double Time configured, sending to HR will include:
-
Basic – Basic
-
Basic – Time & Half
-
Basic – Double Time
The factor populates the System Tools > Lookup Tables > Payments > Premium field in IRIS HR for the associated rate.
Employee Details
In payroll, the information displayed in Employee > Alter Current Employee > Employee details > Rates sends to IRIS HR.
Each rate with a different factor assigned is treated as a separate pay rate in IRIS HR.
Payroll Details
If an employee has pay rates assigned for the period data sent to IRIS HR, the assigned pay rates with factors set as separate pay elements in HR.
You must check that each payment/deduction Name in payroll is unique before sending data to HR.
Do not delete rates or payments used in either system for an employee as this can cause inaccuracies with reports on both HR and Payroll systems.
You should only remove rates/payments from employees if you have not used the rate/payment in the current tax year (i.e. after year-end restart).
