MAT Settings Matrix
A feature within Every HR allows certain settings to be created at trust level which will then appear at property level. This functionality allows you to set up settings once at trust level rather than having to copy them across to each school. Equally this allows you to manage property settings centrally rather than accessing each site individually.
Settings which can be created at trust level currently apply to Admin and Employee settings. Those settings within Admin include Departments, Job Categories, Pay Ranges, and Term Dates. Employee settings are currently Auto Increment Rules, Pay Additions and Deductions, and Enforce Salary Calculations. We will look at each area separately.
To locate the 'MAT Settings Matrix' using the left-hand menu select Trust Overview, MAT Admin, then Settings Matrix.
A property tree will show on the left-hand side of the page detailing your trust at the top of the tree, with your properties descending down in branches. From here you can start to create your settings. Right-clicking on your trust name will bring up a list of areas where settings can be created that will then filter down to each property below. Settings can be created at the very top of the tree to filter down, or within different groups. It may be that you have grouped primary schools and secondary schools with the properties below. In this case you are able to create different settings for each if desired. Most settings are additive, meaning they add to what the property already has. A couple are overriding, meaning if they're set at trust level, they are also set at property level for all below properties. These are 'Term Dates' and 'Enforce Salary Calculations'.
Some of these settings are additive, meaning they add to what the property will already have. Those are:
- Departments
- Job Categories
- Pay Ranges
- Auto Increment Rules
- Pay Additions/Deductions
Term dates and the Enforce Salary Calculations setting are overriding, meaning if they're set at trust level, they are also set at school level for all below schools.
Please be aware, once settings have been created you will be unable to move properties within the MAT tree structure.
Departments
To create a department, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Departments'. Now select the green 'Add Department' button, complete the new department title and then select the green 'Save' button. You will now see the newly created department listed within the 'MAT Settings Matrix'.
Once created the department will show at property level. To locate at property level, using the left-hand menu select Admin, Main Settings, then the tab titled 'Departments'. Here, the newly created department will be listed. You are able to edit the department title, and add a 'Head of Department' by selecting the pencil icon and completing the required information. If no employees are linked to a department it can be deleted by selecting the red cross.
Job Categories
To create a job category, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Job Categories'. Now select the green 'Create Job Category' button and complete the new job category title. Select if the new job category relates to 'Teaching Staff', 'Leadership Role', or 'Unqualified Role', then select the green 'Save' button. You will now see the newly created job category listed within the 'MAT Settings Matrix'.
Once created the job category will show at property level. To locate at property level, using the left-hand menu select Admin, Main Settings, then the tab titled 'Job Categories'. Here, the newly created job category will be listed. Job categories created using the 'MAT Settings Matrix' can only be edited at Trust level.
Pay Ranges
To add a new pay range, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Pay Ranges'. Two tabs will show, 'Teacher Pay Scales', and 'Support Staff Pay Scales', and for each you have the option to 'Add Pay Range' or 'Import Pay Ranges'. Select your preference using the green buttons. You will then be required to input further information. We would recommend our article Pay Awards to assist you further on this process. Once all information has been completed or imported the new pay range will be listed within the 'MAT Settings Matrix'.
Once created the pay range will show at property level. To locate at property level, using the left-hand menu select Admin, Main Settings, then the tab titled 'Pay Scales'. Here, the newly created pay range will be listed in the 'Pay Scales From MAT Settings Matrix' table. Pay ranges created using the 'MAT Settings Matrix' can only be edited at Trust level.
Term Dates
To create term dates, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Term Dates'. Now select the green 'Add Term Dates' button. Select the 'Term Years' period, and the 'Terms Count', then complete the required dates and any known inset days. Select the green 'Save' button to continue. You will now see the newly created term dates listed within the 'MAT Settings Matrix'.
Once term dates have been set for an academic year you are unable to choose this period again. Any amendments must be done using the pencil icon.
Once created the term dates will show at property level. To locate at property level, using the left-hand menu select Admin, Main Settings, then the tab titled 'Term Dates'. Here, the newly created term dates will be listed in the 'Term Dates From MAT Settings Matrix' table. Term dates ranges created using the 'MAT Settings Matrix' can only be edited at Trust level.
Auto Increment Rules
To add a new automatic increment rule, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Auto Increment Rules'. Select the green 'Change' button to input the required offset days, and then the green 'Add Automatic Increment Rule' button. You will then be required to input further information. We would recommend our article Automatic Point Increments to assist you further on this process. Once all information has been completed select the green 'Save' button to continue. The new automatic increment rule will be listed within the 'MAT Settings Matrix'.
Once created the automatic point increment rule will show at property level. To locate at property level, using the left-hand menu select Employees, Settings, then the tab titled 'Automatic Point Increment'. Here, the newly created increment rule will be listed in the 'Trust Increment Rules' table. Increment rules created using the 'MAT Settings Matrix' can be viewed by selecting the eye icon but can only be edited at Trust level.
Pay Additions and Deductions
To add new salary additions and deductions, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Pay Additions/Deductions'. Two tabs will show, 'Additions', and 'Deductions'. Choose your preference and then select the relevant green 'Create' button. You will then be required to input further information. We would recommend our article Salary Additions and Deductions to assist you further on this process. Once all information has been completed select the green 'Save' button to continue. The new addition or deduction will be listed within the 'MAT Settings Matrix'.
Once created the addition or deduction rule will show at property level. To locate at property level, using the left-hand menu select Employees, Settings, then the tab titled 'Pay Additions & Deductions'. Here there are two tabs titled 'Additions' and 'Deductions'. The newly created addition or deduction will be listed in the 'Additions From MAT Settings Matrix' or 'Deductions From MAT Settings Matrix' table. Additions or deductions created using the 'MAT Settings Matrix' can be viewed by selecting the eye icon but can only be edited at Trust level.
Enforce Salary Calculations
To enforce salary calculations within your properties, after right clicking the left-hand property tree in the 'MAT Settings Matrix', select 'Enforce Salary Calculations'.
To switch this feature on for all properties toggle the switch to 'Yes', then select the green 'Save' button. Salary calculations will now be enforced for all your properties.
