Bulk actions in employees

Use bulk actions to make the same change across multiple employee records at once. Every HR supports three types of bulk action:

Annual pay progression - move employees up their pay scale

Paid for weeks - update the number of paid weeks applied to a contract

Spot salary update - apply a fixed amount, percentage, or override to spot salaries

Before you start

Make sure you have the correct bulk action permissions enabled for your user or user group.

  1. Go to Admin > User Administration

  2. Select your user account or the relevant user group

  3. Open the Permissions menu and enable the bulk actions you need

For pay progression only: every pay range must have an order number assigned to each scale point before you run a bulk pay progression. Order numbers must start at 1 and must not include 0. If your pay ranges are not set up this way, contact Every Support before continuing.

How to create a bulk action

These steps apply to all three bulk action types.

Step 1 - Start a new bulk action

  1. Go to Employees > Bulk Actions

  2. Select Create Bulk Action

  3. In the window that appears, choose the action type you want to perform

Step 2 - Select employees

You'll be taken to the Bulk Employee Changes page, which lists all employees. Filter the list if needed:

Filter tab Available filters
Default Surname, forename, start date, end date, status
Job Bulk Changes Job role, job category, department, pay range, casual role

Use the checkboxes to select the employees you want to include, then select the Create Bulk Action button at the bottom of the page.

Step 3 - Configure the action

Enter a name for the bulk operation - for example, Annual Increase 2024–2025 - and set an effective date. The remaining options depend on the action type.

Action-specific options

Annual pay progression

Choose the number of scale points to increase pay by. This is most commonly set to 1.

Paid for weeks

Enter the new paid for weeks (PFW) value to apply.

Spot salary update

Configure the following options:

Option What it does
Salary change type Choose Fixed Increase, Percentage Increase, or Override Spot Values. Override will replace the Salary, FTE Salary, Hourly Rate, and/or Daily Rate fields.
Rounding Round (nearest whole number), Ceil (round up), or Floor (round down)
Hourly rate divisor The value the FTE salary is divided by to calculate the hourly rate
Daily rate divisor The value the FTE salary is divided by to calculate the daily rate

When you're happy with your settings, select Apply Bulk Changes.

Validate and approve your bulk action

After selecting Apply Bulk Changes, you'll be taken to a validation page.

  • If there are errors, the page will list them. You must fix all errors before you can proceed.

  • Once errors are resolved, select Approve Bulk Action. A blue banner will confirm the status has changed to Approved.

Track progress

Return to Employees > Bulk Actions to check the status of your change.

Status What it means
Approved / Awaiting Execution The effective date is in the future
Completed (100%) The effective date has passed and the change has been applied

You'll also see a blue notification in the top-right of your screen when the action completes, regardless of which page you're on.
