Using Activities

Here you can find answers to all the most frequently asked questions we receive to help you use Activities within your Every Business Management module.

Please note you will need a user level above Issues Only.

How do I view my upcoming activities?

To view your upcoming activities you will need to navigate to the Activities Summary page by clicking Business Management, Activities, and Summary.

This is the central page to view and manage your activities from, and includes the forecasted activities for the next 12 weeks that will need your attention. The page is divided into three sections.

At the top you will see your activities that are due today or are now overdue. In the middle, you will see your activities that are due in the next 4 weeks and at the bottom you will see your activities that are due in the next 12 weeks.

At the top of the Summary page you can use the blue 'Category Filter' or the green 'Search Activities' field to find specific entries.

Please note any activity that has been selected to show in your weekly schedule will not appear in the 'Upcoming Activities' tab and instead will show in the the next tab, 'Weekly Schedule'.

How do I mark an activity completed?

To mark an activity as complete you will need to navigate to the Activities Summary page by clicking Business Management, Activities, and Summary.

From the Activities Summary page, use the pencil icon against your chosen activity to navigate to the 'Manage Activity' page.

Once on this page you can view, edit, and manage the activity, including changing the status. To update your activity status you need to select the blue 'Current Activity' tab, then the blue 'Update Activity' tab.

The main purpose of Activities is to help schools track and evidence that a reoccurring task has been completed. For this reason, the blue 'Update Activity' tab is the most important part of this 'Manage Activity' page as it contains the 'Status' and the 'Date Due' information needed to record completed activities and schedule future ones.

The current activity 'Status' can be changed using the dropdown menu. There are three options, 'Open', 'Completed' and 'Done - Awaiting Documentation'.

‘Done – Awaiting Documentation’ allows the activity to be removed from the notifications and separates it into a 'Completed – Awaiting Documentation' tab on the Activities Summary page, making it clear to users when further evidence, such as service reports or assessments, are outstanding. The status can then be changed to ‘Completed’ once all evidence has been received and attached. This is great for making sure that all required information has been collected before an activity has been finalised for that instance.

When the status is changed from ‘Open’, fields appear automatically predicting the next occurrence of the activity.

This is based on the 'Due Every' information and can be edited using the two green 'From Original Date' or 'From Date Completed' buttons, or manually by changing the 'Next Due' date.

Comments can be entered and files attached using the 'Upload File(s)' options before clicking the green 'Save' button to save the current activity. The activity will now be marked as completed and recorded within the audit trail. The activity will now show to be completed for the next due date.

Where can I find my recently attached files?

Files which you have uploaded to your Every system across multiple modules are also stored in a central location.

To quickly locate these files please navigate to Home on the left hand navigation bar and then select Uploaded Files Search.

Within the 'Uploaded Files' table use the magnifying glass at the top of the column titles to search for your required file. Once the file has been located, please select the download icon found on the far right of the table. This will then download the file to your local computer.
