Health record
Once you have opened a student record in the Pupil Manager module, use the Health Record option in a student record to view and manage a student's medical and dental details.
Use the Medical Centre module instead of the Health Record option if you have this module installed.
To work with health records:
- In the Pupil Manager module, select a student records tab.
- Use your preferred search method to find the student records that you want to work with. The Student/Pupil Records List is displayed:
- Click on a student's name to display their record:

Go to the Additional Information menu on the right hand side and select the Health Record option. A number of tabs are available for you to work with:
Tab Includes... General Basic health details, including the student's NHS and EHIC number. An overview of any medical conditions and the student's vaccination record is also displayed for you. This provides useful at a glance information. Trips Details of medical arrangements to be made for a student during school trips. Also list medical information in different languages for medical badges, as required. Conditions Details of medical conditions. Dental Details of the student's dentist and their next dental appointment. Eyes & Hearing Sight and hearing test results and notes. Vaccinations Details of vaccinations and booster dates. BMI The student's height and weight for a given date. Doctor Details of the student's doctor. Notes Detailed medical notes for the student. This is useful for logging details of an accident or any medication that the student requires.
General health details
- Complete the Student/Pupil Health Details section:
- Select 'Yes' in Medical Flag for a flag to display in the student records list.
- Use the Medical Flag Notes field to add the reason for the student's medical flag, for example 'Diabetic - Type One'. This is displayed when you hover over a medical flag in the student records list:
- Use the Disabilities drop-down list to add details of any disabilities that the student may have:
- Add more than one disability if needed.
- Use the arrows to arrange disabilities in order of dominance and remove any that no longer apply.

Complete the Additional Health Details section, as required, with details such as whether the student wears glasses and their NHS number.
This screen may contain custom fields.
- The Conditions Overview and Vaccination Overview sections are available if the Medical Centre module is not installed. Use these to list any medical conditions or vaccination details.
- Click Update Data at the bottom of the screen.
Health Details for School Trips
- Select the Trips tab.
- In the General Notes field, enter details of medical arrangements to be made for the school trip.
- Use the Medical Badge - Lang 1/2/3 fields to enter the text for the student's medical badges. Enter a different language in each field, as required.
- Click Update Data to save the new data.
Medical Conditions
The functions in the Conditions tab are not available if your school is using the Medical Centre module.
- Use the checkboxes available to log various medical conditions.
- Click Update Data to save the new data.
Dental Information
- Use the General Information field to add any relevant dental notes. This is useful for noting ongoing dental treatment.
- Enter the student's Teeth Condition.
- Click Update Data to save the new data.
Eyes and Hearing Information
- Use the fields displayed to enter details of ophthalmic and hearing test results and treatments.
- Click Update Data to save the new data.
Vaccination Records
The functions in the Vaccinations tab are not available if your school is using the Medical Centre module.
Existing vaccination details are listed at the bottom of the Vaccinations tab.
Choose to:
- Use the fields displayed in the Create Vaccination Record section to enter vaccination details. Click the icon next to the vaccination field to add a new option to the drop-down list if you need to.
- Click Record Vaccination to save the new data.
- Click the edit icon in your selected vaccination.
- Edit the information displayed.
- Click Save and Close.
- Click the delete icon in your selected vaccination. You are prompted Are you sure you want to delete this vaccination record from this student?
- Select Yes. The vaccination details are removed.
- Click Create Additional Date next to your selected vaccination.
- Use the fields displayed to enter vaccination details.
- Click Save and Close. The date is displayed in the vaccination records.
- Click the edit icon next to your selected booster.
- Edit the information displayed.
- Click Save and Close.
- Click the delete icon next to your selected booster. You are prompted Are you sure you want to delete this vaccination date from this student?
- Select Yes. The booster details are removed.
BMI Records
The functions in the BMI tab are not available if your school is using the Medical Centre module.
Existing BMI records are listed at the bottom of the BMI tab.
Choose to:
- Use the fields displayed in the Create BMI Record section to enter height and weight details.
- Click Record BMI to save the new data.
- Click the edit icon in your selected record.
- Use the fields displayed to enter height and weight details. You can also add a date for the student's last menstrual period, if required.
- Click Save and Close.
- Click the delete icon in your selected record. You are prompted Are you sure you want to delete this BMI record from this student?
- Select Yes. The record is removed.
Doctor Information
- Select the student's doctor from the drop-down list. Click the add icon to add a new option to a drop-down list.
- Click Update Data to save the new data.
Health Notes
The functions in the Notes tab are not available if your school is using the Sanatorium Manager module. Notes are listed as Medical Notes in the Sanatorium Manager module.
Existing health notes are listed at the bottom of the Notes tab.
Choose to:
- Use the fields displayed in the Add Health Note section to select a Note Type and enter details. Click the add icon to add a new option to a drop-down list.
- Click Update Data to save the new data.
- Click the edit icon in your selected health note.
- Edit the fields displayed.
- Click Save and Close.
- Click the delete icon in your selected health note. You are prompted Are you sure you want to delete this note?
- Select Yes.
When you delete a Note, Current Health Notes are moved to Previous Health Notes.
When you delete a Note, Previous Health Notes are permanently deleted from the student record.
