Export student records to other schools

Use the pink drop-down list in the Pupil Manager module to generate a Common Transfer File (CTF) containing student record information. This is useful for exporting the record information of students who are due to switch schools before and during the academic year. The CTF can be passed to the new schools. Mandatory information from selected student records is included in the CTF. A wizard is available to help you.

To export student records, follow the steps below:

  1. In the Pupil Manager module, select a student records tab.
  2. Use your preferred search method to find the student records that you want to work with. The Student/Pupil Records List is displayed:
  3. Select student records using the checkboxes next to each Student/Pupil's Name. Check the box in the header bar to select all the records displayed.
  4. In the pink drop-down list select Export CTF Records. The Step 1 of the Export CTF wizard is displayed:
  5. Use the drop-down lists to make your selections in the fields displayed:
    1. Destination Type. Select the type of destination that the file is to be exported to.
    2. Other Schools/Local Authority/Other. The field displayed is determined by your selection for Destination Type. The selections available in the drop-down reflect this. For example, if 'School' is selected in Destination Type, then a list of schools is available to select from.
    3. File Type. Currently the only File Type to export is 'Full Ctf'. Further file types will be added in later versions.
  6. Step 2 of the wizard is displayed:

    Ed:gen validates the export.

    If errors are present you cannot progress with the export until these are resolved.

  7. Click Next once it is displayed for you.
  8. Step 3 of the wizard is displayed:
  9. Click the link displayed to download the export file.
  10. Click Finish to close the wizard.
