Edit student records

Use the pink drop-down list in the Pupil Manager module to edit student records.

  1. In the Pupil Manager module, select a student records tab.
  2. Use your preferred search method to find the student records that you want to work with. The Student/Pupil Records List is displayed:
  3. Select student records using the checkboxes next to each Student/Pupil's Name. Check the box in the header bar to select all the records displayed.
  4. Choose to:
    • Group edit student records. Edit a selected field in student records with the same entry. The same entry is made for all the students selected. This is useful if you have to edit a number of records.
    • Batch edit student records. Edit several student record fields and add different entries for each student. You can edit up to three fields at the same time. This is useful if you have to edit a number of records.
    • Create Unique Pupil Numbers. Create a Unique Pupil Number/Unique Student Number for each student selected. Choose to create UPNs for a new intake of students at the beginning of the school year.
    • Delete student records. Permanently remove student records from Ed:gen.

Group edit student records

  1. In the pink drop-down list select Group Edit. The Group Edit Records window is displayed:
  2. Select the field you want to edit from the Field Name drop-down list. Choose from both standard and custom fields.
  3. Either:
    • Select a Field Value. Values are only displayed for selected field types. or
    • Enter a Field Value.
  4. Click Edit Field. You are prompted Are you sure you want to update all the selected students with this new data?
  5. Select OK. The student records are updated.

Batch edit student records

  1. In the pink drop-down list select Batch Edit. The Batch Edit window is displayed:
  2. Select the Number of Editable Fields you want to work with. Select up to three fields.
  3. Select the Primary, Secondary and Tertiary Fields (if applicable) you want to edit from the drop-down list. Choose from both standard and custom fields.
  4. In the fields displayed for each student either:
    • Select a Field Value. Values are only displayed for selected field types.
      or
    • Enter a Field Value.
  5. Click Update Student/Pupil Record. The student records are updated.

Create Unique Pupil Numbers/Unique Student Numbers

The UPNs you create will overwrite any existing UPNs in your selected student records.

  1. In the pink drop-down list select Create UPNs. The Create UPNs window is displayed:
  2. Click Generate UPNs. You are prompted when the UPNs have been generated.
  3. Click Close Window to return to the student records list.

Delete Student Records

Deleted student records are permanently removed from Ed:gen. Only use this option if a record has been added in error.

  1. In the pink drop-down list select Delete Students. You are prompted with a warning message.
  2. Select Yes. Your selected student records are removed from Ed:gen.
