Using text substitutions in emails

Text substitutions enable a piece of text to be replaced by a value stored in emails and certain documents. For example, inserting [NAME] is replaced by the name of the applicable customer or supplier. Text substitutions can be added to email templates and PDF themes.

For example

Dear [NAME],

Please find attached your invoice for [TOTAL]. Please pay this by [INVDUE] as per our standard payment terms of [PAYMENTTERMS] days. If you need to get in touch with us regarding this invoice, please use the reference [INVNUM].

Is replaced with

Dear Mr John Smith,

Please find attached your invoice for £19.99. Please pay this by 25/12/2012 as per our standard payment terms of 30 days. If you need to get in touch with us regarding this invoice, please use the reference 252.

The following text substitutions can be made:

Field Replaced with
[COMPANY]

Customer or supplier company name.

[CONTACT]

Contact name entered for the customer or supplier e.g. Joe Bloggs.

[CUSTCODE]

Customer or supplier code e.g. XYZS01.

[CUSTREF]

Purchase order code or quote reference.

[FAX]

Customer or supplier's fax number.

[FIRSTNAME]

First name entered for the contact (emails only).

[INVDUE]

Invoice due date.

[INVNUM]

Invoice or quote number.

[LASTNAME]

Contact last name (emails only)

[MOBILE] or [CELL] Supplier or customer mobile / cell number.
[NAME] Customer or supplier name, e.g. XYZ Services Ltd.
[PAYMENTTERMS] Number of payment days entered for the customer.
[PAYONLINE] If you use the PayOnline feature, this will add a payment link.
[PERMALINK] For invoices, this includes a permanent hyperlink to access the invoice via the internet (emails only).
[TEL] Customer or supplier telephone number.
[TITLE] Title stored for the contact (emails only).
[TOTAL] Total amount (include tax) for the quote or invoice.
