Assignments allow the setting and controlling of work being completed on a specific client job. A Scheduled start and completion date for the job can be set and this can then be used for job stages linked against the default profile to see whether they are overdue or due soon. To get into the Assignments screen View any client job from the Job Tab on the client and then Select Assignment.
This will open a screen headed Job Assignments and detail, at the top, the Client and Job.
It is possible to assign the Job to a manager and also a Job assignee. Once a job manager or assignee has been defined to a job then the next job that is created will remember these settings. Assigning a job manager will be related to the default profile and then stages that are automatically assigned against these people. For more information click here.
Scheduled Start Date |
Define when job is expected to start. This will prompt to put the job into a Scheduled Stage. Also this may have an effect on the due dates for a stage. (For example if a stage is Due 30 days after the Scheduled Start Date then this due date for the stage will update once the Scheduled Start Date is assigned). |
Scheduled Completion Date |
Similar to above but defines when the job is expected to be completed. This can also effect the default profile if a stage Due date is set to be relative to this date. |
Planning Status |
Defines what status the job is in. This extends to use within the Job Planning screen. |
Allocate |
Once a Client Manager, Partner, Job Manager, Assignee have been entered use the allocate button to assign each of these against the relevant job stages for that specific client job. From the default profile assign the Job assignee responsible for this stage. Once a job assignee is allocated to the job click on Allocate and it will automatically link the job assignee to the stage. For more information on this please click here. |
Clear |
The opposite of Allocate. If staff members are assigned then clear will take out the staff assigned. If this is done by mistake then close the screen and do not Save. When the screen is re-opened the staff member details will be back. It is also possible to View the stage and assign a staff member there. If there is a default staff member against the stage (as set from the default profile) then this can be overwritten. Also in this screen the Due date can be changed. Again this may be based from the default profile but can be overwritten. |
Allow System to calculate Due Dates Again |
Similar to the above the default profile may have Due dates linked to the completion of stages, or scheduled start dates etc. By taking the tick out of this it will mean that, for this client job, the Due dates will not automatically calculate. Specific Due dates can be entered by viewing each stage in turn. |
