The IRIS Main Menu puts the relevant tax and accounting information you need, from a variety of sources, at your fingertips.
The Product list on the left-hand side of the screen provides access to the IRIS products.
Point and click (once) to select a product from the menu. Alternatively, from the menu bar File option, select from the drop-down list.
Search Clients search box helps to search for clients by Client ID, Client Name, Registered Number, URL and NI Number.
Wildcards tick box when ticked, the
search term is parsed for wildcards ("?", "*") and
the range separator character (">", ":" or "-"
depending on how the system is configured). When hovering over this option,
tooltip displays with the
following:
"Tick to search using wildcard (*?) or a range e.g. 1>10 or AA>AZ etc)"*
The results of the search will display in the right-hand pane. Any searching done in the right-hand pane will clear out the search in the left-hand pane.
Click Create new client to create a new person,
business or trust. This launches the New
Client Wizard.
To hide the right-hand pane of the IRIS Main Menu click the to the left of the IRIS
brand name. Click the
to restore the right-hand pane.
Settings - Options to:
use the main menu with the additional content, or use the alternative menu as per Version 10.8
open the right-hand pane by default when the main menu is launched, or to open the Product list only

Add, amend and remove Product licence details

Password
-IRIS will prompt for a username and password when logging in for
the first time. If an IRIS product is already open on your computer,
IRIS assumes the same username and bypasses the 'login' screen.
Select System Maintenance to
define users, set passwords
and to set up the licences
for the products purchased.

The Client
Search tab lists all the Clients
on the IRIS database. Select from the drop-down list
to search for clients using the All
option or filter to search by Client
ID and Name, Client ID,
Client Name,
Registered Number,
Tax reference (URL), National
Insurance Number (NI), Charity Number (only applicable to charities).
If a client is confidential, only the Client ID, Client Name and Client Type are visible within the search results. If a client has a NI, UTR or Company Number, these fields will not show within the results. If the user selects to open a confidential client the Confidential Client dialogue displays. The client tab only opens if the user enters the correct password. Client confidentiality protection can be set in Client | View | Basic tab | Advanced option | Confidentiality
Double-click
on the selected client to view their details in the Client
Dashboard, multiple client tabs can be displayed at once. When
multiple client tabs are open and completely fill the width use the arrow
keys
to access all available Client Dashboard tabs, or select from the drop-down
list
.
Click Filter
to filter the clients in the client dashboard based on the client status;
Whole Practice - Registered clients only
or Whole Practice - Unregistered clients
only or Whole Practice – All clients
that will display every business, person and trust on the database.
It is also possible to filter clients based on specific client and business type. The default client status for the client dashboard is set in System Maintenance | Practice menu | Practice Options sub menu | General tab | Client browser/search default | Client status for Main Menu Client Search drop-down.
Click Reset
to reset Search Clients search box, search for clients drop-down and Filter
settings to their defaults.
Click Create
new client to create a new person, business
or trust. This launches the New Client Wizard.
Click Copy
to copy the client search results to clipboard so that it can be pasted
easily into multiple formats including excel. Alternatively ctrl + click
for a snapshot copy.
The Client Dashboard displays the current information for the selected client.
Here the client data is displayed in widgets on the sub tabs - Summary, Client Details, Practice Management, Accounts & Tax, IRIS Open Space and Kashflow.
The tabs and widgets are displayed based on licenses purchased, permissions set to access the IRIS modules, appropriate account information and client types.
The widgets can be collapsed and expanded using the arrows
, when
collapsed the number of records available are indicated as
.
Within the widgets, click on the
icon to open the IRIS module or Client Maintenance screen which relates
to the data being displayed. This allows the user to view more information
or edit the data (as the widget data is read only).
Click Refresh to view the
latest changes for all the sub tabs of the selected client. There is also
a refresh option
on individual widgets, click to
view the latest changes for that particular widget.
Click Copy
to copy the widget details to clipboard so that it can be pasted easily
into multiple formats including excel. Alternatively ctrl + click for
a snapshot copy.
The Summary tab displays the following widgets:
Client Details-
this widget is a collection of information from the Client Details tab’s
- client contact details and reference numbers widget information. The
users can right-click on the Email details to Send
logged email, Send unlogged email
and to Copy email address to clipboard.

Categories
– this widget displays the clients categories that are set in the Client Maintenance | Categories
tab. Client categories can be configured within System
Maintenance | Practice
tab | Practice Options | General tab | Enter the names of
the category fields in Client category
field usage group. The icon opens Client
Maintenance | Categories
tab to view more information or edit the existing data.
Time and
Fees – this widget displays the client details relating to the
Time Ledger Work-in-Progress figures, Fee Balance and Age of Earliest
Unmatched Invoice. The icon opens Client
Maintenance | WIP tab to
view more information or edit the existing data.
OpenSpace
– this widget allows a staff with IRIS OpenSpace account, the ability
to drag and drop a document in to IRIS OpenSpace without having the need
to login to IRIS OpenSpace via their browser. The Request
e-Approval for PDF option allows electronic approval only for PDF
files and is selected by default. The tools icon
opens IRIS OpenSpace Client Maintenance
screen that gives the registered users the flexibility to choose from
the three options which is to either:
link to an existing OpenSpace client
create a new OpenSpace Client
terminate an existing link with an OpenSpace client
Alternatively, the icon
opens the OpenSpace dashboard where the staff can upload, store and approve
documents online.
Current Jobs
– this widget displays a list of current jobs and its corresponding status.
The
icon opens Client Maintenance
| Jobs tab to add more jobs or
edit and delete the existing job.
Outstanding
Tasks – this widget displays any outstanding client tasks with
their corresponding due date, priority and assignee responsible for the
task. The
icon opens Client Maintenance
| Tasks tab to add more tasks
or edit and delete the existing tasks.
Notes
– this widget displays the notes that relates to the client. The icon
opens Client Maintenance | Notes tab where these notes can
then be edited, created or deleted.
Recent Communications
– this widget displays all the recent client communications. In this widget,
the users have the ability to double-click on an item Type to view the
communication for a client. The users can also right-click, View
and Upload documents to IRIS OpenSpace.
Upload is only available if you
have entered your IRIS OpenSpace login credentials. The icon opens Client
Maintenance | Communications
tab to allow the user to insert, amend or view communications for a client.
The Client Details tab displays the following widgets:
Client Details-
this widget displays the Client ID and name in header. Business specific
client information are detailed in this widget. The
icon opens Client Maintenance
| Basic tab to view more information
or edit the existing data.
Related Entities/Involvements – this widget displays a list of clients that are related to the user. Double-click any related entity in the list to launch the details in a new tab within the Client Dashboard.

Reference Numbers – this widget displays client tax details specific
to businesses. The icon opens Client

Management tab displays the following widgets:
Client Attributes
- this widget displays the different client attributes that are used to
distinguish clients that have certain features. The

Time &
Fees - this widget displays the client details relating to the
Time Ledger Work-in-Progress figures, Fee Balance and Age of Earliest
Unmatched Invoice. The icon opens Client

Billing History – this widget displays the clients Work-in-Progress and Fees balance along with a full list of fees postings of type Invoice and Credit note.
In this widget the users have the ability to double click on a posting type to view the Fees ledger posting information.
The users can also right-click, View Document to view the latest document logged in communications, View Billing Decision to view how a Fees posting has been posted to affect the Time Ledger and View Posting to view the details of the selected Fees Ledger posting.

Current Jobs
– this widget displays the current jobs and its corresponding status.
The

the client with their corresponding due date, priority and assignee responsible

The Accounts & Tax tab displays
the following widgets:
Corporation
Tax, Personal Tax and Trust Tax
- this widget displays the clients tax information available. The
icon opens the appropriate tax module with the client ID pre-selected
Accounts - this widget displays
account status of the client. The
icon opens Accounts Production with the client ID pre-selected.
The IRIS OpenSpace tab allows to access the documents that the accountant may have uploaded, as well as documents that have been exchanged with the client.
Staffs can enter Openspace credentials within System Maintenance | Staff | Staff Maintenance | View | Main tab and provide login Details with in IRIS Openspace Login Details.
To link an OpenSpace client navigate to Client | View | Basic tab | click the magnifying glass next to IRIS OpenSpace textbox and select a client in the option Link to IRIS OpenSpace client.
OpenSpace
Accountant - this widget displays the documents that the accountant
has uploaded.
OpenSpace
Client - this widget displays the documents that have been exchanged
with the client. The icon opens IRIS OpenSpace web
page to view the information.
Within the IRIS OpenSpace tab, users have the ability to right-click and View, Download and Log to IRIS Communications.
OPENSPACE: CORRESPONDANCE – this widget displays the documents that have been uploaded to OpenSpace along with the message attached by accountant. This message can be viewed by left clicking on a row, the message will be displayed in a pop up. Within this widget the user can right-click and select the option to delete the highlighted row.
Log to IRIS Communications will only be available if you have an IRIS Practice Management licence.
The user can set the privilege to allow access to Kashflow settings
and data within System Maintenance
| Staff | Staff
Maintenance | View | Privileges tab and clicking on Can access Kashflow settings and client
dashboard. This option is deselected by default for new installations.
The Kashflow tab displays the following widgets:
Kashflow Client Contact Details
- this widget displays the Kashflow client details.
Account Status – this widget displays the status of Kashflow clients with details such as the username, the License expiry date and the client’s last login date.
Additional Information – this widget displays the additional information namely VAT Registered, 12 Month turnover, payment term and industry sector details.
The tools
icon opens Kashflow client screen
that gives the users the flexibility to choose from the three options
which is to either:
Link to Kashflow client
Create a new client in Kashflow and link to this client
No link to Kashflow client
Alternatively, the icon opens Kashflow connect
web page to view the information.
The Digital Tax Account tab displays the digital tax account data that is currently available to agents. The tab makes it quick and easy to see the data held in IRIS compared to that currently held by HMRC in the clients digital tax account. This tab displays the following widget:
Digital Tax Account – this widget displays the value retrieved from HMRC alongside any equivalent value already entered into IRIS Personal Tax. The widget highlights the differences and shows which value has been selected to be used in the Personal Tax calculations and reports giving a clear view of the data HMRC has made available on the clients compared to what is entered in Personal Tax. This population of data is a quick and easy way to ensure that there is relevant data needed for completing the client’s tax return.
