IT Manager Practice Admin

An organisation is the equivalent of a firm or the corporate entity, typically a legal ‘persona’. For example, there could be The Firm and The Firm Financial Services Ltd.

Engagements belong to (are ‘owned’ by) an organisation and staff members work for an organisation. Certain defaults (invoice format as an example) are controlled via the organisation.

  1. Select Admin > Categories from the menu.

  2. Select Main Categories from the list, then select Organisations.

  3. Click Add (or View/Edit to edit an existing category).

  4. Complete the required information, then click Save. See the following tables for details.

General

FIELD DESCRIPTION
Name The name of the organisation which will be available for selection from applicable drop-down lists.
Title The title of the organisation, for example, Chartered Accountants.
Title Extension Further information about the title of the organisation that can be used on letter headings, etc. For example, Solution Providers to Business.
Short Title The short name of the organisation.
Address The address of the organisation (freeform) which can be used on invoices, etc. The address can also be entered by office.
Telephone The telephone number of the organisation. The telephone can also be entered by office. Enter as appropriate (with digits to indicate international codes, etc such as +44 123 456 7890 ).
Fax The fax number of the organisation. Note that the fax number can also be entered by office.
WWW The Internet web address for the organisation.
Email Email address for the organisation.
Credit Email Enter the email address that statements and credit letters should be sent from.
Active? Select this checkbox to make the organisation available to be attached to staff and clients.
Main Bank Select the main bank from the list.

 Report Formats

FIELD DESCRIPTION
Statement Format The report layout to be used for Statements.
Email Statement Format The email layout to be used for Statements. This is an Active Reports rpx file, which is usually created or adjusted by Practice Engine prior to installation.
Logo The file path to an image file logo that can be used on report layouts. This should be either a gif or jpeg of appropriate size.
Replace Image Facility to browse to the location of a new image file for use above.
Accounting Period These fields are for reference only.
Period Start The date of the Period Start for the organisation.
Period End The date that the Period ends for the organisation.
Month The accounting month that the system is within.
Year Start The date that the accounting year starts for the organisation.
Year End The date that the accounting year ends for the organisation.
