Create billing schedule templates

The Billing Schedule Template page allows for billing schedule templates to be created and maintained. Once created they can be added to Job Templates to then be applied to jobs. Any existing Schedule Templates are listed here and you can Edit or Delete any schedules.

  1. To create a new Billing Schedule templates, navigate to Admin > Billing Schedule Templates and select New. The Job Billing Schedule page will be displayed.

  2. Fill in the required fields:

    • Schedule Type - this determines the trigger that is used. The options available are:

      • Job WIP Trigger Value - this option uses a fixed WIP value, which is compared to the total time that has been posted to the job to determine if the job is due for the next bill.
      • Job WIP Trigger % - this option uses a % of the job billing value, which is compared to the total time that has been posted to the job to determine if the job is due for the next bill.
      • Date Trigger - this option uses a fixed date, which is compared to the current system period dates to determine if the job is due for the next bill.
      • Task Trigger - this option uses the completion of a specific task to determine if the job is due for the next bill.
    • Number of Bills - this determines the total number of bills within the schedule.
    • Job Billing Value - this cannot be set on the template. It is derived from the Job Billing value when applied to the job.
  3. A further sub table will be displayed with Total Number of Bills less 1 as the number of lines. This sub table allows the bill details to be set for each scheduled bill that is not the final bill:
    • Trigger Conditions - This will be dependent on the Schedule Type that has been selected.
    • Amount - This has two values - a drop-down that sets the amount to be either Fixed or a % of the total; and the amount field itself.
    • Date - Set the Date to be used on the bill. The choices are Date Drafted or Period End.
    • Narrative - Set the Narrative to be used on the bill. The choices are Job, Service, Bill Paragraph, Previous Bill or Manual.
    • Layout - Select the bill layout to be used for the bill
  4. The final bill can be set to trigger based on either the Job Completion or a Fixed date. The final Bill Narrative can also be set from the choices of the narratives set on the Job, Service, a Standard Bill Paragraph, a Previous Bill or Manual.

  5. Click Saveto save the schedule details and stay on the details page. If you select Close, the schedule page will close and you will return to the Billing Schedule Templates page where the newly created schedule will be displayed. Choose Reset to reload the schedule, discarding any changes made. These schedules can be added to a Job Template through the Job Template Definitions page.
