Restore a leaver

Use this option if you have made an employee a leaver by mistake, or if they change their mind.

You should not restore an employee record if their P45 has been issued and the FPS sent to HMRC. If the P45 has been issued, the individual should be recorded as a New Starter and a P60 will be produced for each period of employment at the end of the tax year.

  1. On the Leavers menu, click Restore a Leaver.

  2. Select the employee you want to restore.

  3. Confirm the details are correct then type RESTORE in the box.

  4. Click Do it. The employee record is restored.

Restore a leaver as a new starter on the same payroll

If an individual leaves the company but returns during the tax year, you can create a new starter record by restoring the individual’s old record with the same base information but with the year-to-date earnings deleted.

  1. On the Leavers menu, click Restore as a New Starter.

  2. Select the employee you want to restore.

  3. In the As number box, enter the employee’s new number. If you have auto-numbering set up, click Generate to generate the next number in the sequence.

  4. Confirm the details are correct then type RESTORE in the box.

  5. Click Do it. The employee record is restored and the Base Data screen is displayed.

  6. Amend any data, such as the joining date, as required.

  7. Click OK to save.

Restore a leaver as a new starter on a different payroll

  1. On the Leavers menu, click Restore as a New Starter.

  2. Select the employee you want to restore.

  3. Confirm the details are correct then select the Transfer to another payroll? box.

  4. In the To panel, click Select and choose the payroll they will be transferred to.

  5. In the As number box, enter the employee’s new number. If you have auto-numbering set up, click Generate to generate the next number in the sequence.

  6. If required, on the In Department list, select a specific department.

  7. Confirm the details are correct then type RESTORE in the box.

  8. Click Do it. The employee record is restored.
