Set up self selection interviews

Before you begin make sure you have the following information:

  • How long the interview will last.

  • Who the interviewer or interviewers will be.

  • Where the interview will be conducted.

  • When the interviewers are available.

Turn on self selection for a vacancy

  1. In the vacancy, go to Interviews.

    Next to each interview stage in Interview Stages, Self Selection will be displayed as On or Off.

  2. If shown as Off, select Off to switch self selection on for the required interview types.

  3. When Interview Settings opens, select TURN ON SELF SELECTION and confirm this.

  4. Complete Interview Settings.

Interview Settings

Interview slots are created based on the information below.

Interview Format

  • Interview Duration

  • Interview Wash-up Time: The amount of time required between interview slots.

  • Interview Notice Period: The length of the notice period required between booking the interview and the interview itself.

  • Interview Period From and Interview Period To: Date range interviews can be booked within.

Interviewers

  1. Select ADD GROUP.

  2. Select interviewers by name or by their role within the vacancy.

  3. Select OK.

Interview slots must be created for the interviewers based on the availability that they have/you have requested from them. If there are multiple interviewers, you must add availability for all before any slots will show.

Venues

Select a venue from the list of available venues.

If your venue is not available, select CREATE VENUE and complete the details.

Feedback Form

Review or edit the selected feedback form.

Interview Slots

All interviewers in a group must have availability at the same time for a slot to be created.

Interview slots will be created based on the available slots in the interviewers' Interview Diary.

If there are no available slots in the Interview Diary, you can manually add slots for each interviewer:

  1. Select ADD / EDIT AVAILABILITY.

  2. Select the green plus icon to add availability for the day.

  3. Enter the time range and select Save Availability.

    Any availability added here will be reflected on the user's Interview Diary, not for just this vacancy.

    You can also remove availability or edit the time range.

Interview slots are created using the settings you entered in Interview Format.

The total duration of the slot includes Interview Duration and Interview Wash-up Time. For example, 1 hour slot: 45 minute Interview Duration and 15 minutes Wash-up Time.

Communication

Select which template to use for each communication sent out about the interview.

You can also select to send [None].

You can PREVIEW the selected templates, which will later be populated with the interview information you have entered.

For telephone or video interviews we advise using a template with no venue for Confirmation to Candidate.

Documents

Candidate documents: Available to candidates when choosing an interview slot. For example, directions or job description.

You can also select to Include with Invite Email.

Interviewer Email Attachments: Attached to the confirmation email to the interviewer. Choose from:

  • Candidate's Application Form

  • Candidate's CV

  • Interview Feedback Form (blank copy)

Contact Information

Contact details the candidate can use if they need any further information or need to rearrange the selected slot.

Complete manually or select a user.

Finish

Select Finish to confirm.

You can edit any of these details by selecting Settings next to the relevant interview.
