Office Reports Schedule
Once an office report has been built and is ready to use it can be to be attached to an email and sent to yourself and/or other IRIS Cascade users and external email addresses.
If an Excel spreadsheet or PDF document is attached to an email it can be password protected if needed.
Schedules are found in the Properties of a report.
Schedule Name - This is the name of the report with added to the end. It can be changed if needed.
From - The date from which the schedule will run.
Until - The date on which the schedule will end.
Owner - The employee who created the schedule.
Date Created - The date the schedule was created.
The period in which the schedule will run is indicated with the three radio buttons.
Weekly - Ability to select specific days when the schedule will run along with x times or every x hours.
Monthly - Ability to specify specific days and certain days within a month.
Yearly - Ability to specify specific months and certain days within a year.
Extra Parameter Information - Should the office report contain parameters, a link will be displayed beneath the scheduled dates and times. Click the link and enter parameter information as required for the report. The Parameter information entered will be stored and used the next time the report is scheduled to be run.
Email notifications
Create Snapshot of Report - tick this box if you are wanting to create a snapshot of the report. Snapshots will be visible via the Actions of the Payroll Reports Catalogue. If selected, the report will be visible when viewing snapshots for all payroll companies
Create as PDF - tick this box if you want the report to be created in PDF format.
Send Email Notification - tick this option to have the schedule send any/all recipients an email informing them the schedule has run and the report is saved as a snapshot.
Send Report as an Attachment - tick this option to have the report attached to the email.
Require password to open the file - tick this option and enter a password that will be needed to open the Excel or PDF report.
IRIS Cascade doesn't send the password. It is up to the user to inform recipients of the password.
The file will not be password protected if saved to a location, and the snapshot will not be password protected.
Recipients
By default the owner of the schedule is added.
The recipients are shown just above the large textbox.
The large text box works like a search box and returns current employees. Select the employee and click Add Recipients.
It is possible to type an email address then click Add Recipients.
Replace Recipients will swap what is in the text box with the current recipients.
