Workflow tips

  • Always plan how you want a workflow process to work before you try to create it in the system. This will save you time in the long run.

  • Line managers and employees do not always log into the system regularly, so always include an email task in line manager tasks and employee tasks, to make sure that they do not miss any tasks added to their list.

  • It may be easier, and more effective, to split large workflow processes into smaller ones, especially if they include lots of auto decisions that could inadvertently stop the process and prevent tasks that need action from appearing in tasklists.

  • Be careful when using stages, as tasks in stage two will not be triggered if stage one is not complete. This can be advantageous but needs care.

  • Use the workflow planning and example document to help you plan your workflow and to see some examples.

  • For settings for common useful workflow processes, refer to Planning your workflow processes.

  • Use the Workflow building checklist to make sure you follow all the correct steps when building your workflows.
