Workflow audit tools
When a workflow process has been triggered, workflow administrators can use several viewing options:

Use Process Management to monitor the progress of a workflow process.

Use the Workflow Process – Historic Audit screen to view of all the processes that the system has ran.

Use the Workflow Tasks – Historic Audit screen to view a list of all tasks that have been completed, are in progress or are pending.

Use the Scheduled Process List screen to view any processes that are scheduled to start in the future.
Monitor a workflow process using Process Management

To access the workflow process you want to view, do one of the following:

From the Process Catalogue, select the name of the workflow process

From the Workflow tab in an employee’s record, select View beside the name of the workflow process.

On the Process screen, use the following options as required:

To drill down and view the progress of an individual workflow, select the employee’s name.

To add a manual task to the workflow process, select Add Manual Task.

To add additional notes about the workflow process, select Add Note.

To view any linked forms or documents, select the Forms or Documents tabs.

To produce a report showing a full audit of the progress of a workflow process (for example, if you want to attach a new starter checklist to an employee’s paper file), select Print Process.

View historic workflow processes
The Workflow Process – Historic Audit screen provides an overview of all the workflow processes that the system has run. You will see this screen by default when you access the Workflow module.
On the Workflow Process – Historic Audit screen, you can search for workflow processes using one or more of the search criteria in this table.

View the historic task audit
The Workflow Tasks – Historic Audit screen provides a list of all tasks that have been completed, are in progress or are pending.
On the Workflow Tasks – Historic Audit screen, you can search for workflow tasks using one or more of the search criteria in this table.

View the scheduled process list
The Scheduled Process List screen shows any processes that are scheduled to start in the future.
You can export the list of processes due to be run to Microsoft Excel, by selecting Export to Excel at the bottom of the screen.
