Linking internal applicants to employees

When applicants are synchronised from Recruitment+, IRIS Cascade checks their details to see if they match any current employees in HR.

The system looks for the following matches:

  • Checks for a Forename match

  • OR Work Email/Home Email matching the applicants Email Address

  • OR Work Phone/Home Phone matching applicants Mobile Number

  • OR Surname plus Forename

  • OR Surname plus an Email Address match

  • OR Surname plus a Mobile Phone match

Surname doesn’t generate a match on its own, it must have an accompanying match.

If a match is found for any field an icon appears to the right and when selected displays a list of potential employees.

Matches are ranked in order from Most to Least likely depending on how many matches are found. For each match made with the fields, a score of 1 is given. The applicants with the highest score appear at the top of the list and so are more likely to be a match.

To link the applicant to an employee in the list, select Link in the Actions column beside the employee’s name.

When the applicant’s record is then converted into HR, the system creates a new Job & Salary record for the linked employee.
