Maintaining Keylists

Keylists are used to provide reference data for document input forms (in addition to other internal functions such as depreciation).

Whilst it is possible to create a new key list, we strongly recommend that this is not done as it can be problematic if not done correctly. We have therefore not included instructions on how to create key lists.

Maintaining key lists consists of the following:

For each keylist, you can add additional values or edit existing values. For example, a new value is required when a new nominal is created.

  1. Select Maintenance, then select Keylists from the menu.
  2. The Keylist Maintenance window is displayed. Select the required key list from the left-hand panel. To add a new key list value, select ADD NEW, then select KEY.
    To edit an existing key value, select the key from the keys list, then select EDIT.

    When editing an existing key list value, if fields remain greyed out, you are unable to change the details.

  3. A <New item> is displayed in the list of keys and automatically selected. Enter the nominal code ( digits in a nominal code structure) in Key, then enter the title for the nominal in Title. For existing keylists, simply edit the required values.
  4. The remaining fields can be left blank. Select SAVE to confirm the additional value/changes.

Deleting an Item from a Key List

Do not use the DELETE button when deleting a key from a key list as this deletes the entire key list.

Great care should be taken when deleting key lists. They are predominantly used to provide headings for reporting and therefore if deleted, reports may not be correctly displayed. Please check how the key list is used prior to deletion.

  1. Select Maintenance, then select Keylists from the menu.
  2. The Keylist Maintenance window is displayed. Select the required key list from the left-hand panel, then select the key you want to delete from the list of keys. If the key is not in use, to delete it, select the X in the right-hand side key panel.

    If a padlock icon is displayed against the keylist or individual keys, these are locked and unable to be deleted.

  3. The item to be deleted is displayed with a strike-through. Select SAVE to confirm the deletion.
