New Features

School Workforce Census Validation Messages

School Workforce Census checks have been updated for academic year 2023/24 to include the following validation messages:

Validation code and message details Why the message displays
Error 6560Q — The school has School Business Professionals, but none are on the SLT. Please check and confirm this is correct

Displayed when checking the School Workforce Census submission if any person in the submitted file: 

  1. Has School Business Professional (SBP) as their post;
  2. And they are not a leaver or their leave date is after the reference date;
  3. And SLT is not selected
Error 6570Q — No qualifications are recorded for staff with post of 'School Business Professional'. Please check and confirm this is correct.

Displayed when checking the School Workforce Census submission if any person in the submitted file: 

  1. Has School Business Professional (SBP) as their post;
  2. And they are not a leaver or their leave date is after the reference date;
  3. And qualifications have not been added
Error 4605 — Origin of 'First employment in teaching' is invalid for School Business Professionals’

Displayed when checking the School Workforce Census submission for School Business Professional (SBP) employees who are a leaver and the origin is one of the following:

  • 1STIMM
  • 1STAFT
  • 1STEBR
Error 4722Q — Post seems to be inconsistent with Role Identifier. Non teaching Post has a role associated for a staff member that would be expected to be normally filled by a teacher

Now includes validation for School Business Professional (SBP) employees with one of the following roles: 

  • Careers Advisor (CADV)
  • Head of Department (HDPT)
  • Head of House (HDHO)
  • Head of Year (HDYR)
  • Instructor (INST)
Error 4545Q — Staff member appears to be paid less than minimum wage for apprentices, please supply a reason in a return level note. Displayed if the hours per week multiplied by weeks per year multiplied by 5.28 is less than Actual Salary.
Error 4480Q — The Pay Range supplied is not valid for a support staff or teaching assistant post Displays for employees with School Business Professional (SBP) as their post.
Error 4228 — Qualified status is missing for a teacher No longer displayed if the employee has School Business Professional (SBP) as their post or qualified statuses have not been completed.
Error 4225 — Disability is missing or invalid. This data is important to improve outcomes and opportunities for disabled people and should be fully reported. Description for error has been updated to include why the information is required for submission.
  • Error 6205 — Class of Degree must be provided for teachers with a degree arriving in the school from 1 August 2013
  • Error 4725Q — Role of TASS (Teaching Assistant) or HLTA (Higher Level Teaching Assistant) should normally be linked to a post of TAS (Teaching Assistant)
  • Error 4610 — Origin must be provided for teachers and teaching assistants who joined after 2009-08-31
  • Error 4385 — Destination code must be provided for completed contracts
  • Error 4430Q — Date of arrival in school has not been supplied. Please confirm if this is correct
  • Error 4440Q — Date of arrival' in school should not be later than the start of the contract. If Date of Arrival is later, please supply a reason in a return level note
No longer displayed if the employee has School Business Professional (SBP) as their post

Senior Leadership Team (SLT) Field

The Department for Education (DfE) have added a new Senior Leadership Team field that is required for the School Workforce Census. The field has been added to the HR Record (SWC) page and is automatically selected when adding contracts for the following posts: 

Existing employee contracts assigned to these posts when upgrading to PS People Version 2.23.16 are automatically updated.

  • Headteacher (HDT)
  • Deputy Head (DHT)
  • Executive Head Teacher (EXH)
  • Assistant Head (AHT)
  • Leadership Non-Teacher (LNT)

If changing details of a contract or deleting an existing School Workforce Censure HR Record the Senior Leadership Team option is not automatically updated. You must select the option before saving the changes or confirming deletion.

The Senior Leadership Team field is also available in Form Builder. It is displayed in the <StaffDetails> section, under <NewlyQualifiedTeacher> in the XML output.

I-Connect Enhancements — Ireland

The following improvements have been made to I-Connect at the request of Local Government Pension Scheme (LGPS):

  • Updated column headings
  • 0.00 value entered in column AK for new starters
  • Part time indicator checks mcr_emptype has a value of C for customers in Ireland
  • Pensionable pay can now include both Main and 5050 values

Higher Education Statistics Agency Equal Opportunity Fields

To meet the Higher Education Statistics Agency (HESA) requirements for 2023, the additional 9 disability fields are now also displayed on the Equal Opportunities page.

Fixes and Updates

  • SIR Return now also excludes records where submit_sir_return is set to F.
  • Historical status no longer automatically set when adding contracts with an end date in the past.
  • When running an MCR in April, if the number of dates excluded is present but low, zero values are automatically changed to make the field value blank.
  • Advice or Summary screen now displays even if a warning is displayed when running an employee calculation.
