Set up personal email integration (Gmail)
If your practice has set up IRIS Elements Practice Management to integrate with Gmail, you will need to set up your personal email integration.
You can set up IRIS Elements Practice Management to integrate with your own email provider. This means that any emails you create in IRIS Elements Practice Management will be sent from your own email account rather than our servers. This is particularly useful to show email communications between each client and everyone in your practice (displayed on the Email tab of the client record). It also means that your own email account will contain copies of all your emails, even those produced in IRIS Elements Practice Management.
Generate a Gmail App Password
In order to set up a personal Gmail account, you'll need to create a Gmail App Password (opens in a new tab). This password is a 16 digit passcode that gives IRIS Elements Practice Management permission to send and receive emails via your Gmail account. You'll enter this password when completing the settings below.
You'll need to turn on 2-Step verification in your Gmail account to create a Gmail App Password.
Completing the settings

At the top of the page, select Your account then My profile.

On the Email tab, select Send & Receive via SMTP/IMAP.
- Complete the settings as follows:
Incoming mail server - imap.gmail.com
Incoming mail port - 993
- Incoming mail user name - the user name you use to log into your Gmail account.
Incoming mail password - enter the Gmail App Password you created earlier.
When you enter the password, a series of black dots are displayed, irrespective of how long the password is.
- Incoming mail encrypted - On
Outgoing mail server - smtp.gmail.com
Outgoing mail port - 587
- Outgoing mail user name - the user name you use to log into your Gmail account.
- Outgoing mail password - enter the Gmail App Password you created earlier.
When you enter the password, a series of black dots are displayed, irrespective of how long the password is.
Outgoing mail secure - Off
Outgoing mail requires TLS - Off
Sent items folder - you can select a specific folder to save sent items to if you don't want them saved to your default Gmail account sent items folder.

Once you've completed these settings, you can then Test incoming connection and Test outgoing connection to ensure that the connection has been successful.

Select Save.
