Automatically trigger jobs

Jobs that are part of a service can be triggered automatically by the change of a field value. This can be a manual change made by your client or an automatic change, for example, a change to a date pulled through from Companies House.

Triggered jobs

A triggered job will automatically start when data in a trigger field has changed. For example, the default Client take-on jobs start automatically when new clients are added and are triggered by the change in state from Prospect to Client on the Client record.

Set up a triggered job

  1. Go to Settings > Services and find the job that you would like to set up as triggered.

  2. Select the How often drop-down menu and select When triggered.

  3. Choose the field that will start this job from the Trigger field drop-down menu.

  4. Choose to Trigger for current value as well?:

    • If you select Yes, the job triggers as a one-off for the current value and then it will trigger again if there is another change to the field.

    • If you select No, a Job will only be kicked off after the trigger field has changed.

  5. Set the job dates:

    • For trigger fields that don't contain a date, Set the job date to will default to Whatever the date is when the job starts.

    • For trigger fields that do contain a date, you can Set the job date to - The new value of the [trigger field].

  6. Select Add filter to filter on he type of field that can trigger this job.

    • Depending on the field type, you will see a few options by which you can filter the job. For example, the Client type field will allow you to filter the job on the type of client - by LLP, Limited company, Individual, Partnership etc.

  7. Select Save to finish.

Trigger jobs from dates in Companies House

This applies to UK practices only.

Accounts production and Confirmation statement jobs are automatically triggered from dates pulled from Companies House.

If you have added a company from Companies House, or you have added a company number to the Companies House tab for an existing client, then all you need to do to is turn on the appropriate service and the jobs will run automatically. IRIS Elements Practice Management will ensure that the filing dates are pulled directly from Companies House. Any triggered jobs will display a magic wand symbol next to them.
