Selecting Documents and Accounts in Statement Emailer

The first step in any of the three emailing modules is to select the type of documents being sent, together with the accounts the documents should be sent to.

In the Statement Emailer module, remittances are typically sent to accounts within the Sales ledger.

  1. Log in to Statement Emailer as described in Logging into Statement Emailer.

  2. The ledger defaults to the Sales ledger (LLL_SALES in the following example). If required, select another ledger by clicking Drill(...) in Ledger, then double-click to select the required ledger from the Select a ledger dialog.

  3. If required, you can restrict the list of customers to be emailed to those within a specific nominal and/or account range. This is achieved by clicking Drill(...) in either Nominal From, Nominal To, Account From or Account to, then double-click to select the required value from the dialog displayed.

  4. You can also filter the search results by selecting an index from the Account Index drop-down list or a userfield from the Account Userfield drop-down list.
  5. Depending on the email being sent, you may want to restrict the list, for example, to show only customers in debit. Select the required option in the Balance section.

  6. You can define the date on which the search criteria should be based by clicking the As At Date drop-down arrow and selecting the required date from the calendar.

  7. If this email is being sent for accounts using a different currency, select the required currency from the Currency drop-down list.
  8. Finally, you can exclude any accounts currently on stop from the email list by selecting Exclude Accounts on Stop.
  9. Click Search to display a list of customers matching the chosen criteria.
