Dealing with Receipts not Displaying on Paying in Slip Account

The nominals and ledgers used in this topic may be different to those in your chart of accounts.

If you are trying to allocate a Paying in Slip and cannot find a receipt to match it off with, the first step is to check the document that you are expecting to be showing in the Paying in Slip Control Account.

To do this:

  1. In PS Accounting go to Options > Document Enquiry:
  2. Enter the details for the document that should be showing in the Paying in Slip Account - usually a Nominal Receipt or a Sales Receipt and then hit Enter or press the OK button.

    If you check the entries on the document in the example below, you can see it has been posted straight to the bank (9400 nominal), rather than the Paying in Slip Control Account (9425 nominal).

  3. To correct this, you can do a Change Document to change the Bank Nominal to the Paying in Slip Control Nominal.

  4. Check that the document is not allocated. If it is, you will see a 'P' in the Status field as shown below:

  5. To remove this, right-click in the grey box on the Sales Ledger Control Line that has the P in the Status Field and select Show Allocation.

  6. To unallocate, right click in the grey box on either line and select Undo Allocation. Once the document has been unallocated, both lines should have O in the Status field:
  7. To complete the Change Document, Right-Click on the document header line (LLSR in this example) and select Change Document.

    You can then over-type the bank nominal (9400) with the paying in slip control nominal (9425) and enter the appropriate banks paying in slip control account.
