Display the purchase order icon in IRIS Financials Purchasing

This topic explains how to ensure the Purchase Order icon is displayed for a user in IRIS Financials Purchasing.

The following example uses the AST_HEAD user group, who does not have the Purchase Order icon displayed on the IRIS Financials Purchasing Home page. The Distribution module is used to manage which icons are displayed for a user on the IRIS Financials PurchasingHome page.

  1. Select Start > PS Financials > Distribution
  2. The PSF Distribution Logon dialog is displayed. Enter your CUSTADMIN login details, then select OK to login.
  3. Select Masters > Workflow > Document Typesfrom the menu.
  4. The Document Types Maintenance dialog is displayed. Select the required document type, e.g.PORD - Purchase Order, then select Workflow....
  5. The Document Workflow dialog is displayed. A list of user groups already able to access this document type is displayed in the left-hand panel. Select the user group to which the user for whom the Purchase Order icon is not displayed is linked. For example, AST_HEAD.
  6. Any access already applied is displayed on the right-hand side. If not already selected, select Allowed to Create, then select Change to save the settings.

    If you are unable to see the user group that needs access, you must provide them access to documents in IRIS Purchasing. If the access applied for the document type is incorrect or missing, you need to amend the status. For more information, refer to Providing Access to Document Statuses.

    Even with configured access settings, a user is unable to authorise or reject a document unless they are an approver. For more information, please see Setting Up IRIS Purchasing Document Approvers.
