Producing Petty Cash Journals

The nominals and ledgers in this topic may be different to those in your chart of accounts.

When you have recorded expenditure or payments to and from the petty cash tin, you may want to produce a copy of the document, or a report to show the transactions from IRIS Financials that have been posted to the Petty Cash Control Account.

To produce copies of documents and reports you need to run a detail enquiry to find the account, then you can export or print the results. This topic assumes you are familiar with running a detail enquiry and the functions available in the detail enquiry window.   1. Select Enquiries, then select Detail Enquiry from the menu.

  2. The Detail Enquiry Criteria dialog is displayed. Select Equals from the Nominal drop-down list. Select Drill (...) in Value 1, then double-select to select AST9420 - Petty Cash Control Account (where AST represents the location code for the nominal) from the Select a nominal dialog.

  3. Next, select the Periods tab, then select an option for the periods you want to include in the criteria. In the following example, Period Range and All has been selected.

  4. Select OK to confirm your selections.

  5. The Detail Enquiry window is displayed, listing the results of the criteria. Find the journal document, right-select then select Reprint Journal from the pop-up menu.
    To export a copy of the documents listed in the results, select EXPORT, then save the file in a suitable location. Exporting the documents does not include any detail lines. If you want the detail lines of each document included in the export, you need to run a Document Enquiry. For more information, please see Running a Document Enquiry.

  6. The IRIS Financials Reporting Services Browser window is displayed with a copy of the journal. To print a copy of the journal, select the Print icon. To save a copy of the journal, select the Save icon, then select PDF from the menu.
