Create Accounts

To record and process payments for customers or suppliers in IRIS Financials, an account must be created on the relevant ledger.

Permissions control what you can do in IRIS Financials. If you do not have access or cannot create, change, or remove details, contact your system administrator.

  1. Go to Maintenance, then select Accounts.
  2. Select the required ledger.

    Before creating an account, we recommend checking if it has already been created.

  3. Select ADD NEW, then ACCOUNT.

    If you want to make a copy of an existing account, then make the necessary amendments, select ACCOUNT (COPY).

  4. In General, complete the following:

    Account

    Enter a 12 digit code for the account (do not include any special characters).

    Title Enter a meaningful name.
    Currency Only completed for accounts dealing with currencies other than the default currency set for IRIS Financials, the required currency must be selected.
    Initial state

    Defaulted to Open to automatically post documents for the account to the live database.

    Select Hold if you want to create the account where any invoices are automatically put on Hold and will need to 'un-held' before they can be allocated to a payment run.

    External — Only select when creating bank accounts.

  5. If required, select or enter details, such as payment information, on relevant tabs.

    Available tabs vary depending on the type of account and your access permissions.

  6. SAVE the details.

If your organisation has added Analysis Fields that must be completed to save the account, a warning with the required details is displayed.

It can take up to 15 minutes for new accounts to be available in IRIS Financials Purchasing.
