Timetable spreadsheets

Use the Timetable Spreadsheets wizard in the wizard bar to view and print timetabled information for groups of teachers and rooms. Information is displayed in Excel spreadsheets.

Use this wizard to quickly check how teachers and rooms are occupied in your timetable. Choose to view full teacher or room timetables. All timetabled teaching staff and rooms are listed with their assigned periods in the timetable. You can also select to view teacher and room timetables by department or subject.

Only timetabled information for the department or subject you select is listed in the spreadsheet.

The Timetable Manager Options wizard must be enabled before this feature can be used. Timetable Manager > Current Timetable > Edit Timetable Properties > Published via Wizard Bar/Published Timetable.

To use timetable spreadsheets, follow the steps below:

  1. Open the Timetable Manager heading in the wizard bar on the right of your desktop and select the Timetable Spreadsheets wizard. An example of the window displayed is shown below:
  2. Complete the sections available:

    Section Explanation

    Spreadsheet Options

    • Spreadsheet Type. Use the drop-down list to select the information you want to view.
    • Department. This is displayed if you select to view a department spreadsheet in Spreadsheet Type. Select the department timetable you want to view.
    • Subject. This is displayed if you select to view a subject spreadsheet in Spreadsheet Type. Select the subject timetable you want to view.

    Filter Options

    Use the checkboxes to select timetables events to display on your spreadsheet. Lessons and availability are always displayed on the spreadsheet.

    This section is not available for all selections in Spreadsheet Type.

    Format Options

    Check the box to select the spreadsheet to export to Excel. This box must be checked.

    E-Mail Output

    Check the box if you want to e-mail the spreadsheet and enter recipient details.

  3. Select Next Step. A warning is displayed about the time it can take to process the information required.
  4. Select OK. An example of the window displayed is shown below:
  5. Select Download Excel Timetable.
  6. Either:
    • Select Open to view your spreadsheet.
      or
    • Select to Save the file, as required.
    An example of the spreadsheet is shown below:
  7. Resize the screen and use the scroll bars to help to you view the spreadsheet in full.

  8. Print or edit your spreadsheet as required. For example, choose to highlight selected periods in the timetable and print a copy for your records.
