Entity Group Admin in IRIS Central

The new Entity Group Admin functionality allows users to manage users, report roles, permissions and categories for a subset of schools called Entity Groups.

Entity Group Admins can:

• Add users

• Create report roles and categories

• Assign roles and report permissions

• Design reports

• Impersonate other users within their designated Entity Group

However, Entity Group Admins will not have access to the following, as these functionalities are only available to Group Admins:

• Change Identity Provider

• Change Entity Groups

• Change Entities

• Change any of the MIS Sync functionality

• Create more group admin users

• Access Data Share

We have also introduced audit sections for each of the workflows above, so that Entity Group Admins can manage changes associated with their entity groups.

Appointing Entity Group Admins

To appoint a user as an Entity Group Admin, Group Admins need to:

• Go to Settings.

• Navigate to Users.

• Then in the Entity Groups tab, select Create User.

• Under Entity Groups > Select Entity Groups > Tick Admin

As an Entity Group Admin, the reports you can access and actions you can take are governed by the specific entity group you are an admin of.

Entity Groups

You can only access this functionality if you are a Group Admin - you will not be able to create or modify entity groups.

Users

Here, you can add or remove users from an entity group.

You can also see an audit trail of all the actions taken related to the user.

If a user moves to another entity group, you will only have access to the audit prior to the move.

Report Roles

As an Entity Group Admin, you can assign report roles to users of the entity groups you govern.

Report Categories

When a report category is assigned to an Entity Group, users with access to that entity group will be able to view reports within these categories.

Report Permissions

This section allows you to see an overview of report permissions for your respective entity groups. You can add new Report Permissions and manage existing ones.

Designer

Here, you can create reports for your respective Entity Group(s).

Existing reports can be linked and unlinked from Entity Groups based on your governance.

Any user who is an admin of your Entity Group(s) will then be able to make changes to the report linked to your Entity Group.

Impersonation

As an Entity Group Admin, you have the option to impersonate any user within the Entity Group, so you can check their access to reports and data.
