How to import a Trial Balance from KashFlow into Accounts Production

Introduction

This topic explains how to automatically import a KashFlow postings including Annual trial balance and Management period movements into Accounts Production for either the complete accounting period or management periods within it.

Client data from KashFlow can be linked to Accounts Production. Trial balance figures and Management period movements can be automatically imported into Accounts Production.

• This feature is only available to an Accountant with a KashFlow Account.

Step 1 – Entering KashFlow details within Accounts Production

From the Accounts Production toolbar:

1. Select Setup | Practice Options

The following screen displays.

2. Click KashFlow.

3. Enter Orbit Accounts login details and click OK.

4. Click OK to close the Practice Options screen.

Step 2 – Entering the Client details

From the Accounts Production toolbar:

1. Select Client | View

The following screen displays.

2. Click the Magnifying glass next to the KashFlow Client field.

The following screen displays.

3. Select the Link to KashFlow client option.

4. Highlight the relevant client and click OK.

5. Click Save.

6. Click Close to exit the Business Client Maintenance screen.

Note: If a client is not yet setup on the KashFlow Connect account, this can be done by selecting ‘Create a new client in KashFlow and link to this client’.

Step 3 – Importing the Trial Balance from KashFlow into Accounts Production

From the Accounts Production Quick Launch toolbar:

1. Click Posting, followed by New

2. Click Advanced |Import from KashFlow

Accounts Production will run the Import.

The following screen displays.

3. Click Import.

• The Posting screen displays showing the imported Trial Balance.

Postings can also be imported into an existing batch by selecting Re-open, to importing into a new batch and clicking New.

4. From the ReSpecify/Specify Batch window select KashFlow from the Activate import from drop-down list.

5. Once all the batch details have been entered in the ReSpecify/Specify Batch, click OK and the Import from KashFlow window will open.

The Import from KashFlow window will give the option to either import the clients annual trial balance or to import for management period movements.

6. If the client does not have a default KashFlow map selected, the required import map must be selected by clicking the Import Map magnifying glass.

The list of available KashFlow maps will display.

There are two import maps issued by IRIS:

• KashFlow Import Map L - this is for use with limited companies

• KashFlow Import Map P/S - this is for use with partnerships and sole traders

7. Once all the information is filled in, click OK to activate the import.

When the import is complete, a results window will open and the postings will be displayed in the postings screen.

The posting data can also be imported from the Accounts Production Quick Launch toolbar:

1. Click Posting.

2. Click Advanced | Import from KashFlow

The Import from KashFlow window will open. Follow Step 4 – in the Importing the Trial Balance from KashFlow into Accounts Production section to complete the import.
