How to integrate a Trial Balance from Accounts Production to IRIS OpenAudit

Introduction

This topic explains how to automatically export a trial balance from Accounts Production and import this into IRIS OpenAudit.

From v8.2 client data in Accounts Production can be used to create clients within IRIS OpenAudit and trial balance figures can be automatically exported and populated into the Audit file in IRIS OpenAudit.

 

Step 1 – Entering the Practice Details

  1. From the Accounts Production tool bar select, Setup | Practice Options

The Practice Options screen displays:

 

Click IRIS OpenAudit

The OpenAudit Login Details screen appears as follows:

 

2. Complete the Practice URL field

3. Enter the User Key and Private Key. To find these keys please follow step no.4 - 6

4. Within IRIS OpenAudit select the Profile icon  

5. Select Edit Profile

The screen displays as follows:

 

6. Select the Enable Integration button

The User Key and Private Key will be located on this page

 

Note:  The User Key and Practice Key can be copied and pasted when they are being entered into Accounts Production

7. Click OK

Step 2 – Entering the Client details

1. From the Accounts Production tool bar select, Client | View

The Business Client Maintenance screen appears as follows:

 

2. Select the magnifying glass beside IRIS OpenAudit Client field

The IRIS OpenAudit Client displays:

 

3. Select one of the following options:

a. Link existing IRIS OpenAudit client if the client has already been set up within OpenAudit

b. Create a new client in IRIS OpenAudit and link to this client if the client has NOT yet been set up within OpenAudit

c. No link to IRIS OpenAudit client if no link is to be created between Accounts Production and IRIS OpenAudit

Note: The following error message will appear if IRIS OpenAudit login details have not been entered or are not valid in the Practice Options screen. Please refer to Step 2 – Entering the Practice details

 

4. If ,

a. Link existing IRIS OpenAudit client option has been selected, highlight the relevant IRIS OpenAudit client from the list

b. Create a new client in IRIS OpenAudit and link to this client follow no.5

5. Click OK

Note: If the Create a new client in IRIS OpenAudit and link to this client option has been selected the following IRIS OpenAudit Client screen will display:

  

Click OK

The Business Client Maintenance screen displays as follows:

 

6. Click Save

7. Click Close

Step 3 – Exporting the Trial Balance into OpenAudit

1. Once the trial balance is ready to be exported, from the Accounts Production Quick Launch toolbar select  . Alternatively, within the Posting screen, select Advanced | Export TB to IRIS OpenAudit

 

Note: If users have insufficient privileges the following IRIS OpenAudit Export error will display:

 

Note: If the client has not yet been set up within IRIS OpenAudit the following IRIS OpenAudit screen displays:

 

Select one of the following options:

a. Continue to link or create the client within IRIS OpenAudit and follow no. 3

b. Quit to exit the screen

The IRIS OpenAudit Client screen displays as follows:

 

Select one of the following options:

a. Link existing IRIS OpenAudit client

b. Create a new client in IRIS OpenAudit and link to this client

Highlight the relevant client and click OK

When client is correctly linked between Accounts Production and IRIS OpenAudit, the Posting Entries screen displays as follows:

 

2. Select OK

Note: The IRIS OpenAudit export warning message screen displays if the period has not yet been created within IRIS OpenAudit:

 

3. From the drop down menu select the required audit template

 

4. Select OK

The IRIS OpenAudit Export screen displays as follows:

 

5. Select OK

Note: Both the current and comparative years’ trial balance is required to be entered within IRIS OpenAudit.

Step 4 – Making adjustments’ journal in Accounts Production

1. From the Accounts Production toolbar click Posting | Select

The Posting Entries screen will appear as follows:

 

2. Highlight the relevant posting entry

3. Click OK

The following warning message will appear as a trial balance has already been exported to IRIS OpenAudit and if further posting are made, another export should be performed:

 

4. Click Continue.

The Posting screen will display.

5. Make adjustment journals’ as required.

Step 5 – Re-exporting the Trial Balance into IRIS OpenAudit

Note: This process will need to be followed if further postings are added to the trial balance within Accounts Production.

1. From the Accounts Production Quick Launch toolbar select  . Alternatively, within the Posting screen, select Advanced | Export TB to IRIS OpenAudit
