Timesheet Browser

Introduction

The Timesheet Browser gives an overall view of timesheets for Managers and Partners. It is possible to view multiple Managers/Partners and multiple timesheets in one location.

The new ‘Timesheet’ window can be accessed from:

Time Ledger | Timesheets

or

Time Ledger | Post WIP | Timesheets

 

Default View

When logging into the IRIS Accountancy Suite, the system knows if the user is a Manager or Partner.

When the Timesheet screen is opened, the window will be set to the users default view.

If the user is a Manager or Partner, the Staff Manager/Staff Partner ID fields will be pre-populated.

If the user is not a Manager/Partner the ID, fields will be blank.

If the user is both a Manager and a Partner, Partner will take precedence over Manager.

The From date will be backdated 3 months, the Complete, Current, Current and Partly Applied, Completed and Partly Applied options will be preselected. The Time Remaining Only option will not be selected.

Reset will always take the user back to the default view.

 

Primary Filter Options

These are the main search filters, which can be used to find Staff, Staff Managers and Staff Partners.

Staff IDs – staff can be found by entering comma-separated values directly into the field or by clicking the ellipses to use the Staff Browser.

Note: When using the Staff Browser to search for members of staff, the Staff Browser can be used repeatedly to search for staff. When using the Staff Browser, only one person can be selected at a time.

Staff Manager/Partner - if the ID is known, Managers and Partners can be found by entering comma-separated values directly into the field or by clicking the ellipses button to use the Staff Browser. Only one manager or partner can be selected at a time.  

Note: Only full, valid IDs will return results. If a partial or invalid client ID is entered, no results will be returned.

 

Secondary filter options

From Date/To Date - dates can be entered manually in the preferred date format of DD/MM/YYYY or alternatively can be selected by using the date picker.

The following options are preselected:

Completed

Current

Current and Partly Applied

Complete and Partly Applied

Complete and Fully Applied is not preselected but can be selected.

Time Remaining - not selected by default but when selected, this option will display any timesheets that have time remaining on them, that is, with time greater than zero.

 

Main Timesheet Window

All results will be displayed within the table. The results returned are based on the filter parameters.  

The following columns are hyperlinks and when selected the Staff Maintenance screen will open for the selected staff member:

Staff ID

Staff Name

All columns within the table are sortable; text columns are sorted alphabetically, dates are sorted chronologically and numerical columns are sorted in ascending/descending order.

Below the main table, the options will allow the user to carry out a number of processes:

Re-open Timesheets - selecting a timesheet and clicking Re-open Timesheet  will re-open a timesheet if it is Completed, Current, Current and Partly Applied and Completed and Partly Applied. Timeshees that are Completed and Fully Applied, can not be re-open it and the options is greyed out.

Post Timesheet(s) – this allows the user to select and post one or multiple timesheets to the ledger. Timesheets selected to be posted will display dialogue boxes confirming they are to be posted, or advising that timesheets have already been posted.

Export - this will open the Save file window. A file name can be entered and the location selected. A hyperlink will allow the user to open the folder where the CSV file has been saved containing all of the lines of data from the table to be exported.

Add Timesheet – when selected, the Staff Browser will be populated with all of the staff who are registered with Time and Fees. After selecting the staff the Timesheet Time Postings window will open where the form can be completed and posted to the ledger. Closing the window will take the user back to the main Timesheet window. The page auto refreshes and any new timesheets created that match the filter criteria will be displayed.

 

Drill Down

Within the main Timesheet window, when a line within the table is selected, it will be highlighted blue. Once highlighted, double-clicking on the highlighted line will open the corresponding timesheet for the client. All of the existing functionality within the legacy windows remains the same.
