Timesheet Grid reference

Introduction

The Grid timesheets provides a method of entering timesheet postings within a grid format

Set the practice to use grid timesheet

A practice can select to use grid timesheet display for all their staff members to post timesheets:

Enter the Time Ledger (as Master).

Select Options

Select Time Ledger Options

Click on the Timesheet Entry Tab

Place a tick beside  the 'use grid timesheet screens' option.

Set staff access to grid timesheets

Staff can select which style of timesheet to post into within the staff maintainance screen. Click here for further details.

Access grid timesheets

Once the option to use grid timesheets has been set, it is possible to post timesheets using the grid timesheets. To post a timesheet:

Enter the Time Ledger

Click on Post WIP

Click on Timesheets

Type in the staff identifier, or select using the  button

Click on New to create a new timesheet, or click on reopen to access an existing timesheet

Timesheet Grid

The timesheet grid is split into rows and columns. The columns go across the top of the grid displaying  the details of postings entered into the timesheet,  such as the client identifier, job type, work type, date, posting time and narrative. The Grid within the Grid timesheet can be customised to display a variety of columns. To select the columns to be displayed:

Right click on the client ID column

Select Configure

Select either show columns or hide columns

Click on the columns to be displayed.

The following columns are optional:

Charge Premium

 

Displays a chargeable premium set on a client

Charge Rate

Displays the staff member charge rate used for the posting

 

Narrative

Provides the option to enter free form text

 

Expense Total

Displays the total of expenses posted into a row

 

NC Total

 

Displays the total of Non-charge Postings made into a row

Chargeable Total

Displays the total chargeable value of WIP postings made into a row

 

Total Time

Displayed is the total Time total per row.

 

Work Type Description

Displays the work type description adjacent to the work type identifier.

 

Job Type Description

Displays the Job type description adjacent to the job type

 

Client Name

Displays a description of the client identifier.

 

 

Note: Columns set on the Grid Timesheet screen are saved to the registry on the machine being used. This means that timesheets columns can be saved on a computer by computer basis.

 

The following columns are mandatory:

Client Id

To make a timesheet posting the identifier of the client must be entered.

 

Job

If you elect to use job types,  the  job type identifier must be entered when making a timesheet posting.

 

Work Type

If you elect to use work types, entering a work type is an optional field.

 

Dates

The display of dates on the timesheet grid is dependant upon the timesheet entry option set in the Time Ledger options.

 

For practices that enter timesheet postings  on a daily basis, a column is displayed for each day. For example, Mon 1st. Under this column staff can enter the time spent on a client.

 

For practices that post totals for a week, a date worked column is displayed. Staff can enter the date of the posting, and the time worked for the week is entered in the following time column.

 

Time

If you elect to enter timesheets by weekly totals, or by timesheet totals, as set in the timesheet entry option at time column is displayed. Staff can enter the amount of time spent on a client within this field.

 

 

 

The grid rows list the postings made within the timesheet. For example, a timesheet with ten rows can have ten entries made within it. Alternatively, multiple entries can be made within a row. For example, a practice that has weekly timesheets and enters time on a daily basis will have the columns Monday, Tuesday, Wednesday, Thursday, Friday, Saturday and Sunday. Staff within the practice can enter Client A001 within a row and enter the time worked on each on these day within the same row.  For example

To order the rows by client click on the column heading.

 

The bottom row of the grid display totals for each of the selected columns.  For example, to show totals of time posted for Monday.
