A timesheet correction is a way of posting WIP or expenses into a Time Sheet that has been updated to the Time Ledger. It is designed for staff members who need to add additional information to a Time Sheet that is no longer available for posting.
To post a Timesheet Correction:
Enter the Time Ledger.
Click Post WIP.
Click Corrections.
Enter the period that the correction is to be posted into (defaulted to current period).
The Post Timesheet Corrections to period screen is displayed.
To post a correction the following fields can be entered:
Posting Type
The posting type determines whether the posting is a debit or a credit, .or a WIP or Expense posting.
A debit posting will increase the WIP costs to the client account. For example, posting a correction for £500 as a debit will place £500 of WIP onto the client account.
Similarly, a credit posting decreases the WIP cost to the client account. For example, if a client account had a WIP value of £300 on their account and a credit of £300 was posted, the clients final balance will be nil.
For the correction posting to alter WIP ensure that WIP is selected. Select Exp to change expenses that have occurred whilst working for a client (travel costs, letters etc).
Client / Non Charge Activity
Type the client or non-charge activity identifier, or select using the magnifying glass.
Client Job
To post to a client job type the job type identifier, or select using the button you would like to post expense to.
Job Types are the first level of analysis within Time & Fees and can be used in conjunction with Work Types or independently.
Once Job Types have been set up onto the system they can be assigned to the client to become a client job type. Client job types can be registered manually when the client is created, or on-the-fly as you post to the client.
To create a client job type whilst posting:
Enter the job type identifier into the job type field p.
You will be notified that the client job does not yet exist for the selected client.
Confirm that the job type is to used for this client by clicking YES.
Job types created for annual or periodic intervals require additional information. For example, an annual job Acc/2002, or period job SLT/2002/1to be entered.
To enable job types go to the Practice management options and click Use job types. Job types are then available to be used in the time ledger. To use job types in the Time Ledger go to the Time Ledger Options and ensure that account at job level is selected.
Staff Identifier
To post to a staff member enter the identifier, or select using the magnifying glass.
To post a correction a timesheet must have been created for the staff member and be updated onto the time ledger.
To check a Time Sheet is available:
Enter the Time Ledger.
Click Post WIP.
Click Time Sheets.
Enter the Staff Identifier or select using the magnifying glass.
The Time Sheets for the staff member is displayed.
Work Types
To post to a work type enter the identifier, or select using the magnifying glass.
To complete a correction it is not required for a work type to be entered. A work type can be added to provided further information for the correction posting.
A work type should be considered for describing the type of work the individual is performing on behalf of the client, for example meeting, telephone conversation and bookkeeping.
Date
Enter the date for the posting is to be made. For example 23/03/02.
The correction posting must lie between the date range of the staff members timesheet.
To view a staff members Time Sheet dates:
Enter the Time Ledger.
Click Post WIP.
Click Time Sheets.
Type the Staff Identifier in the field provided or select using the magnifying glass.
The Time Sheets for the staff member is displayed.
Time
Enter the amount of time that the staff member has worked on a client or non charge activity (for example, 20 minutes).
To the immediate right, the WIP charge is presented to in the grey field. This is calculated by multiplying the time entered by the charge rate assigned to the staff member.
Note: To post a correction to a staff member's timesheet a charge rate must first be created and then assigned to the staff member.
Narrative
Similar to Work types, a narrative can be typed to describe the type of work the individual is performing on behalf of the client.
The narrative can provide a record of why the correction has been posted, so it is possible to understand the purpose of the posting.
Click on Post to confirm the correction posting, or Close to cancel.
