The available options for different types of clients vary depending on the type of client being accessed.
The following is a list of all those variations. Select the appropriate link for more specialised assistance for each type:
Business including Limited Companies, Charities, LLP, Partnerships and Sole Trades
Full details for displayed fields for a business client are listed below, availability of each field is dependant on the Type of business:
Business name - the Current display name of the business will be shown in this field. To edit the Business name , enter a full name (where the name exceeds the number of characters available), enter a trading name or change the business name to a new/proposed name, click Edit Names.
Pending name – this option will only be available if a New/proposed name has been entered within the Change business name screen (Edit Names), the name has been changed by a Conditional Resolution and that condition has not been satisfied. Where a change of name is pending, the text Conditional Resolution Status: Not satisfied will be shown next to the Edit Names button with the following radio buttons below:

Select as appropriate. If the status is altered to Satisfied or Cancelled then a Confirm Proposed Business Name(s) screen will be displayed with the Status set to reflect the change just entered on the Basic tab.
The same screen can also be displayed by selecting Edit Names.
Business
type - this field defaults to Limited company if the business
name contains Ltd or Limited or Limited Company - Public if the name
contains PLC. Otherwise, select the type of business from Limited
Company, Charity, LLP, Partnership, Sole trader or Other. Business
type Other should only be used for pension schemes. The business type
will restrict the type of Accounts Charts that can be used for the
client type. For example, ICHA chart is only available for use with
Incorporated Charities.
In the case of a Limited company specify whether it is:
Limited by shares - used by default if this field is left blank
Public - non traded - used if the company is a Plc and not traded on a regulated market. (To complete the annual return in Company Secretarial Companies House require this detail)
Public - traded - used if the company is a Plc trading on a regulated market. (To complete the annual return in Company Secretarial Companies House require this detail)
Limited by guarantee
Limited by shares, s60(CA1985 – s30) exempt - used when a company does not include Ltd or Limited in their name
Limited by guarantee, s60 (CA1985 – s30) exempt - used when a company does not include Ltd or Limited in their name
Unlimited or
Unlimited (No capital)
In the case of a Partnership or Sole Trade specify whether it is a Trade, profession, vocation or Rental income.
In the case of a Charity specify whether it is:
Incorporated, ltd by guarantee
Inc by guarantee, s60 exempt or
Unincorporated
Business description - used for sole traders and partnerships where a description of the business must be entered on the self assessment return. Used for limited companies on their annual returns (AR01 (CA1985 363a))if SIC codes are not present.
Registered number/Registered in - these fields are activated if the type of business selected is a PLC, Limited company, LLP, Charity or Other.
Registered number – enter the 8 digit Company Number.
A Prefix 0 (zero) or SC (Scotland) may be required for numbers less than 8 digits.
Registered In – fields are available for the following:
Country or territory - click the magnifying glass to display the Country or Territory database. Select as appropriate.
The default for a new client is England and Wales (unless Cyf, Cyfyngedig or Cyf. Are included within the business name when the default will be Wales).
State – free form text field. Enter as required.
Incorporated / Trading commenced / Trading ceased dates - enter the relevant trading dates. If the correct dates are unkown leave the fields blank. If the correct dates are unknown leave the fields blank.
Close company - this field is used by Personal Tax to indicate that the company is close on the Employment schedule.
UK resident - is selected by default for a limited company so that a UK Corporation Tax Return can be completed for the client. Deselecting this option sets the company as being non-resident for tax purposes. This applies when the company is not resident in the UK or does not have a trade with a permanent establishment in the UK. This activates the IRIS Non-Resident Company Return so that Business Tax produces a SA700 Tax Return rather than the CT600. A license for the ‘Non-resident Company Return – SA700’ product is required to use a non-resident company in Business Tax.
Property letting company - this field is used by Business Tax to indicate that the company is to be treated as a Schedule A only business.
Struck off - this option is to indicate if the company has been struck off the Companies House register of companies. If this option is selected a form 652a/DS01 is activated for printing in Company Secretarial and if the box is subsequently deselected, a form 652c/DS02 is activated for printing. If these forms are logged they can be printed using the Forms option.
A/P figures - use this field to access an Accounts Summary for the client selected. This information is taken from Accounts Production using the Data Mining utility in Practice Management.
64-8 - allows a HMRC 64-d for the selected client.
Accountant or Auditor - allows you to select/setup the accountant 8 to be printed and/or auditor details.
Accounts Office - this option will only be available if Accounts Office is present on the system. It is used to create a link from the Accounts Office client to the Accounts Production client in order to import postings.
IRIS OpenBooks Company - click the magnifying glass against this field to enter details of an IRIS OpenBooks Company, the details entered will be used to import details from the IRIS OpenBooks Company.
IRIS OpenAudit Client - click the magnifying glass next to this field to select one of the following options:
Link existing IRIS OpenAudit client if the client has already been set up within OpenAudit
Create a new client in IRIS OpenAudit and link to this client if the client has NOT yet been set up within OpenAudit
No link to IRIS OpenAudit client if no link is to be created between Accounts Production and IRIS OpenAudit.
KashFlow Client - click the magnifying glass next to this field to select one of the following options:
Link to KashFlow client if the client has already been set up within KashFlow
No link to IRIS KashFlow client if no link is to be created between Accounts Production and KashFlow
MyWorkpapers Client - click the magnifying glass next to this field to select one of the following options:
Link existing IRIS MyWorkpapers client if the client has already been set up within MyWorkpapers.
Create a new client in MyWorkpapers and link to this client if the client has NOT yet been set up within MyWorkpapers.
No link to MyWorkpapers client if no link is to be created between Accounts Production and MyWorkpapers.
IRIS OpenSpace – click the magnifying glass next this field to select one of the following options:
Link existing IRIS OpenSpace client if the client has already been set up within OpenSpace
Create a new client in IRIS OpenSpace and link to this client if the client has NOT yet been set up within OpenSpace
No link to IRIS OpenSpace client if no link is to be created between Accounts Production and IRIS OpenSpace.
If OpenSapce credentials are incorrect in System Maintenance the following message will be displayed in the IRIS OpenSpace text box:
'Staff member has no OpenSpace credentials specified in System Maintenance.'
If 'Can
access Client Reconciliation' privilege is deselected for a staff
in System Maintenance, the following message will be displayed in the
IRIS OpenSpace text box:
'You have no privileges for the Client Reconciliation screen.'
Benchmarking - this will send the Accounts information into the benchmarking product to allow you to run a Benchmarking report for the client. See www.avn.co.uk for more information.
This is also accessible within
the Accounts Job profile for job tracking and from within the Accounts
Production reporting mechanism.
AML - click this option to access the Anti Money Laundering search provided by the Searches Group.
Periods - use this option to add, change or delete account period end dates. It is also possible to set up an audit trail and select a period as interim.
Shares - click this option to open up a series of share screens.
Forms - allows Company Secretarial forms to be printed if your practice has purchased the Company Secretarial program.
Full details for displayed fields for a person that is a client are listed below:
Surname, forename, title and initials - the initials are auto-completed based on entries within the forename field.
Date of birth/death - the date of birth field is not mandatory. If the date would effect the allowances given in Personal Tax then please enter the correct date.
Male or Female - this is mandatory
Nationality
Salutations - Enter both Formal and Informal which will be used in the Time and Fees and Automail programs.

Qualifications
Honours
Other identification
S243 CA2006 exemption applies - only select this option if in the process of applying for, or have been granted, exemption by the registrar from disclosing the usual residential address to credit reference agencies under s243 of CA2006. Only applies where the service address differs to the main address.
Accountants - allows you to select/setup the accountant details.
Tax Summary - use this option to access a summary of Personal Tax data for the client selected. This information is taken from Personal Tax using the Data Mining utility in Practice Management.
64-8 - allows a HMRC 64-8 to be printed for the selected client.
Marriages
AML - click this option to access the Anti Money Laundering search provided by the Searches Group.

Trust name - enter the name of the trust to appear on tax returns.
Type of trust - choose the type of trust from the drop down list available.
Trust started/ceased dates - Enter the relevant dates as appropriate.
Accountant - allows you to select/setup the accountant details.
64-8 - allows a HMRC 64-8 to be printed for the selected client.
AML - click this option to access the Anti Money Laundering search provided by the Searches Group.
Full details for the generic options on client maintenance screens are listed below:
Change Id - use this option to change the client identifier. Enter the new (unique) identifier which is to be used and click OK to save. IRIS will display a warning if the new identifier is already in use in the database.
Save - click to save any changes made on this screen and update the database.
This option is only displayed
if the screen is being viewed from Client
| Select. Use this option
to scroll backwards/forwards through the list of clients.
If you are viewing in:
Accounts Production, Business Tax or Fixed Asset Register - this option will display business clients only.
Personal Tax only personal clients will be displayed.
Time and Fees or Whole Practice - this option will scroll through both business and personal clients.
Print - if an Company Secretarial or Company Formations licence is present there are two report option Single Sheet Summary and Customisable Report. If neither licence is present the Single Sheet Summary report is generated by default.
Send E-mail - clicking this option will open your e-mail program. The To field will be completed with the e-mail address (where entered) of the selected client. If you have set up more than one e-mail address for the client you will be asked to select from a list.
Confidentiality to password protect the client and restrict access to the client or alter an existing password. This option can only be accessed by users that have the privilege set in System Maintenance.
Delete Client Data to delete the client and all it's involvements
Change Criteria to alter criteria entered to search for a specific client. This option is only available if the client is viewed from the Client Browser.
Close - to exit the screen.
