The main client maintenance screen is opened by selecting the Client menu and clicking View (change). Alternatively, the screen can be accessed by clicking the magnifying glass next to the client id and clicking View.
There are various tabs on this screen which will display information relating to the client selected.
Basic - this shows the name and type of trust together with the dates the trust started and ceased.
Address - this will usually be left blank for Trusts as the address used will be that of the principal trustee.
Tax - this is where the UTR of the Trust is entered. The tax district of the Trust can also be entered here by selecting the tax district number from the tax district database.
Categories - this screen shows partner and manager links together with details of any categories that have been set up.
Related - is where details of the trustees, beneficiaries and settlors that have been linked to the Trust will be displayed. None of this information needs to be entered unless it is needed on part of the tax return. However, the principal trustee must be set up as this is required for the tax return address (on page one of the SA900 return)
The involvement start and end dates on this screen will be used to maintain questions 20.1 to 20.8 on the main Tax Return. Dates are entered by clicking Involvements.
It is also possible to delete involvements. However, deleting an involvement will also delete any links made to the trustee/settlor/beneficiary in the data entry screen so care must be taken when using this option.
Contacts Contacts are people the practice may need to correspond with regarding the main client. They do not have to be a client on the IRIS database. Examples would be the billing contact or shareholders.
History IRIS keeps an audit trail or history of significant events against the client on the history tab, for example, a change of address. Most of the events in this list are triggered as and when a change is made to the database. This section is used to maintain questions 20.9 to 20.12 on the main Tax Return.
If a practice management licence has been purchased, there will be additional tabs on the client maintenance screen.
More information about each tab can be found by clicking the question mark in the top-right hand corner of each screen.
