Job Stages Quick Guide

This allows a quick look at which job stages are overdue already and stages that are about to become overdue.

Right-clicking on the Pm icon and choosing Job Stages it will open the screen and by default have the current login displayed. It will search on the current settings as soon as the screen opens and if the settings are changed click Find and it will refresh search on the new criteria.

The search can be terminated at any point by clicking Stop.

From this highlight each stage and go to:

Posting a task against a stage can be used as a memo on the Staff Control Panel for work to be done later. If a Task has already been created for that particular client stage then the task can be Viewed instead.

Alternatively the stage can be Mark As Completed by using the button. This will complete the stage with the current login and current computer clock date. As the stage is then completed the next time the screen is refreshed that stage will not be seen. More than one stage can be selected by holding down the CTRL or Shift key and clicking the left-mouse key.

If the stage is not relevant to the client being used it is now possible to use the Mark as N/A option.

Using AutoMail

With an AutoMail licence it is now possible to Generate Letters based on the client selection. To do this enter a service and an extra criteria needed and click Find Now. Now select the clients and right-click on this selection. There is an option for Generate Letters. This will open up AutoMail and select the required letter template.

 

Search criteria

As the default stages are searched on whether they are overdue and are assigned to the current login. A full list of the options is as below.

Include settings for the search criteria allow a search for stages overdue for more than 20 days, or stages due in the next 10 days. To do this select the appropriate criteria, and then detail the number days desired.

Once the changes have been made click Find.

 

Configure & Export

The columns can be configured to suit and the information can now be exported a CSV file.

 

Print

This allows a print of the current list of job stages as displayed on screen. It will also detail on the report the report settings.
