Access to this screen is from right-clicking on the Pm icon at the bottom right. Then select Job Planning.
This screen is used to identify which client services have been created and what the status of each job is. A breakdown of each type of status is detailed below.
Enter the Client Service required.
Change the Include Jobs field to show the relevant ones. For example: Not yet created and Pending.
Click Find.
This will then search for all Jobs under the chosen client service that have not yet been created or are in a pending status.
Once items have been found there are several options.
Re-run the search with different criteria. This will automatically reset the previous search.
Right-click on a single line and select one of the following options.
Client Open the client details
Service Opens the details of the client service.
Job Gives details of the client job, or ability to create the job
Put in Planning Stage Will create job and put into planning stage
Print List - Prints the 'Find' list.
With an AutoMail licence it is now possible to Generate Letters based on the client selection. To do this enter a service and an extra criteria needed and click on Find Now. Now select the clients and right-click on this selection. There is an option for Generate Letters. This will open up AutoMail and select the required letter.
This controls the column for WIP balance. From here the WIP balance can be displayed at the following levels:
Client Level - this is the clients overall WIP balance.
Job Type Level - this shows the specific job being looked at with respect to further identification. For example PTAX/2002.
Job Level - this will show the balance at the Job overall level, for example PTAX.
If there is more than one line for a client then the WIP balance may appear misleading. This is because if the Advanced WIP balance to be Client Level, each line will show the overall client level.
The columns can be configured to show in the required order. Also the information can be exported to a CSV file.
Not Yet Created - Job Planning has recognised that there could be a job created. This is because a Next job p/end is supplied on the client's service, but in the search range it has not been created.
Pending - the job has been created but in a Pending stage. This is the first status the job goes under when created.
In Planning Stage - this second stage can be done individually on a job by job basis or for as many jobs as selected in the Job Planning screen.
Scheduled - this again can be done on a job by job basis. Jobs can also be changed to this when a Scheduled Start/Finish Date has been assigned. This is done in Assignments.
Completed - when a job is completed it will fall under this stage. When a job has become completed it is also no longer current and will not be on the default view for the client's job tab.
NO NEXT JOB Although there is a service created for the client there is also no way of the system knowing when the estimated next job will be. There are no previous jobs created nor are there any accounting periods created.
NO NEXT JOB (05/04/2002?) This means that although the client service has been created it has not been defined when the next Job p/ e is. If the job is linked to a Personal Tax job and is repeated ` annually` then it will pick the next tax year end. If the client is a business and has at least one accounting period set against then the system will extrapolate to detail what the next job may be for the client. From this the system does not have enough information to create the job.
To suppress jobs of this type then remove the tick from 'Next job p/ e not supplied' before searching.
To change a job status from NO NEXT JOB to any of the others Edit the Client Service and supply when the next Job p/ e will be.
