Setting up PM jobs Quick Guide

The Standard System Job Types allow tracking of how much has been done or has to be done on a particular client for those jobs that relate to the IRISPTP products. There are some default jobs that can be setup (see the next section).

Alternatively any job set up can have Profiles. To set up or edit profiles click here. Note these can be the Default Profiles against the Standard System Job Types.

The workflow report will give a quick way of seeing which stages have been completed and details of this report can be found here. Also the Client Service will be effected by the settings made and for more details on the client service then click here.

 

Standard System Job Types

To set these up log in to System Maintenance as MASTER. From here go to Practice Management | Standard Job Types. A window headed Standard System Job Types with fields for the following jobs:

Personal Tax Returns Personal clients

Corporation Tax Returns Limited Companies

Partnership Tax Returns Partnerships

Sole Trade Tax Sole Traders

Trust Tax Trusts

Accounts Production All Business Types

Clicking on the magnifying glass against one of the jobs will go to the Job Types / Profiles screen.

In linking a job to the Standard System Jobs the default profile will be attached to the job, which can be set up from here. This profile can be edited and customised to suit the needs of the practice.

These default profiles also contain Automatic completion events, for example if a Final Paper Tax Return in Personal Tax was completed then it would mark that stage as complete against the relevant clients job. For details on the Automatic completion events that are available click here.

 

Setting up the default jobs

The jobs that can be setup can also be used by Time & Fees. If Time & Fees is present careful creation is needed. It is highly recommended that Job Type Creating Page is viewed, to familiarise the other options.

On the job setup screen there are two fields that are required with respect to the PM module. To access the job setup screen go to Job Types / Profiles and from there click New. From the following screen headed Job Type Definition the PM fields are:

  1. Workflow Management can automatically create jobs of this type

  2. Subsequent jobs repeat at "Field".

Each of the Standard System Job Types need to be set up in their own way, depending whether the job is once per accounting period, or annual etc. The following workflow jobs require the subsequent jobs repeat at field as filled in below.

Personal Tax Returns

Corporation Tax Returns

Once per Accounting Period

Partnership Tax Returns

Annual Intervals

Sole Trade Tax

Once per Accounting Period

Trust Tax

Once a job has been set up and linked to the Standard System Job Types a default profile will be setup. This can be edited to suit the practices needs, and to do so click here.

The job can then be linked against the client and this is done in one of two ways. To go through setting up a job against a client click here.

  1. View the client and select the Jobs tab. Select New from here. Then mark the relevant stages and run the workflow report to see client progress.

  2. If an automatic job stage has been completed (producing a tax return in Personal Tax say). and If the client does not have a job tracking report setup then the system will create one. This will also mark the stage complete against the job profiles that has been completed.
