From the Job Profile Maintenance screen clicking on Add will give a screen headed Add new job stage and the description of the stage can be entered.
The Automatic completion field is linked through to the jobs set up in the Standard Job Types. At the moment there are only certain automatic stages and these can only be linked against the Standard Job Types.
A staff member can be responsible for each stage. This can be one of 5.
N/A -no-one assigned to this stage
Job Assignee - a staff member who is assigned to this specific job
Job Manager - the staff member who is assigned to the specific client for this job.
Client Manager - the Manager assigned against the client.
Partner - the Partner assigned the client.
This can be detailed to give a due date and used by the Job Stages screen. The ability to give job stages due dates will allow tighter control on which jobs are overdue. This will allow the user to quickly and efficiently assess which jobs are seriously overdue.
A Due Date can be assigned by default (with details below) or assigned at a later date at the client level. For more details on this please see details of the job on the client tab.
The Due date can be based on 6 settings:
N/A - no Due date assigned by default.
Job start - against the job at the client level a job start date can be assigned. For more details please see details of the job on the client tab.
Job End - same as previous but with respect to an end date assigned. Fore more details please click here.
Job P/ E - the period end can be used as the basis of when a stage should be completed.
Statutory Deadline - depending on the job the statutory deadline is entered by default (if standard system), or can be manually entered. In either case the due date will be calculated from this.
Stage Completion - allows the due date to be calculated based on a previous stage being completed.
The offset is used to define when the stage becomes overdue. Using the Based from above it is possible to define that the stage is overdue 30, for example, days before or after the Based date.
If the Based setting is Stage Completion then a prompt to enter in the relevant stage will come up.
With the new stage it can be set so that it is relevant to specific types of clients. For example there may be a stage that only effects Partnerships and Limited Companies. The stage is added as normal, but when the job is assigned the stages that are not relevant to that type of client will not appear.
Once a new stage is added it will put it at the top of the list and number it as 0 (zero). To re-order the stages highlight the line and click on the up/down errors to move it around.
If a stage has already been highlighted then adding a new stage will place the zero item above the highlighted one.
