When accessing the client's job profile a screen headed View Job Profile - Client ID - Job ID (date) (description) will come up. This screen can be accessed from the Client Maintenance screens and other job related screens like the Job Planning for example. This screen allows a way of entering information against the job profile but if you are entering in details against a lot of client please consider using the Job Stage Fast Entry screen which will allows a quick and efficient way of entering profile information.
The top of the screen will confirm the client identifier and client name in question. It will also detail the Job identifier (and period end date) and will give the job description. Also details of the job assignee are given. The Job assignee is relevant to this particular job and detailed when the job is viewed.
These are fields that can be entered when looking at the Assignments against the client job.
The highest numbered stage that has been marked as completed will be displayed. The stage is completed when a completion date is assigned to it. Details on completing a stage are below.
The main box shows the current stage setup for the client. From here scroll up and down and see which stages have been marked as complete and the staff member (if assigned). Also take note on whether there has been a task linked against the profile, a Due date for the profile and also if there are any Notes attached.
If there is an automatic completion on the client job stage and that event is triggered.
Highlight the appropriate stage and then click Mark as Completed. This will mark the stage complete with details of the current days date and also the current log in.
Highlight the stage and then click View. This will allows the manual choice of the date of posting and also the staff member. There is an option to choose Today and Self, which is the same as using the Mark as Completed. There is also option for notes. These notes can be edited and copied to a Word document.
A task can be linked against a specific job stage. When the staff member completes the task they will be prompted if they want to complete the relevant profile as well. For more information on this then please click here, or see below.
Similarly if details have been entered incorrectly view the stage and delete the entries against staff and date. By removing the date this will no longer mean this stage is completed.
Highlight the relevant stage and then click on Post.
If a task has already been assigned to a job profile stage then the Post button will be a View instead. Also on the line of the profile it will detail the status of the task.
If the job profile highlighted is already assigned to a different staff member (see Assignments for more details) then the task will automatically be linked to that staff member. If not then the staff member logged in will be the recipient of the task. In either case the task recipient can be changed.
The Post screen will detail the client, job and relevant stage automatically. Enter in additional information as normal. For details on posting task then please click here.
When the task is completed the user will be prompted if they want to mark the stage as complete as well. If Yes is selected then the task will complete and also the relevant stage will be Marked as Completed. If No is selected then task is completed but the job profile is not updated.
To delete information held against a stage highlight the stage in question and then View. From here highlight and delete the information.
If deleting the stage information to be able to delete the job from the client then information from the Notes section needs to be deleted from the stage as well.
